Small Vines Winery | Sebastopol, CA
Full-Time | Hourly DOE

We’re seeking a highly organized, detail-driven Administrative Assistant to become an essential part of our small, passionate team. This is a hands-on role for someone who loves keeping things running smoothly behind the scenes, enjoys variety in their day, and feels energized by working in a creative, rural environment.
Small Vines is a family-owned boutique winery and regenerative organic vineyard farming company rooted in West Sonoma County. We craft small-lot Pinot Noir and Chardonnay from thoughtfully farmed vineyard blocks, guided by living soils, healthy ecosystems, and human connection.
You’ll work closely with the founders and winemakers themselves, supporting leadership, sales, and operations while helping deliver a seamless experience to our customers and partners. What You’ll Do
•  Provide administrative support to executives and sales, including managing phones, email, calendars, mail, and filing systems
•  Assist with shipping logistics to ensure accurate, timely wine deliveries
•  Support inventory management, tracking stock and coordinating with vendors
•  Provide World Class Customer Service as a primary contact for shipment inquiries and issue resolution
•  Help keep daily operations organized and flowing smoothly
•  Pitch in on any general office needs or errands as they arise (we’re a small team — everyone contributes)

Who You Are
•  Highly proficient in Excel or Google Sheets (comfortable with formulas, data organization, and problem-solving)
•  Tech-savvy and quick to learn new systems
•  Exceptionally organized, detail-oriented, and reliable with a can-do attitude
•  Warm, professional communicator — both written and verbal
•  Comfortable working independently while collaborating closely with a small team
•  Prior experience in administration, logistics, inventory, or customer service preferred
•  Wine industry experience is a bonus, but not required
•  You appreciate rural settings and don’t mind being off the beaten path
•  Social Media Skills and/or High School Spanish language skills are a plus
PHYSICAL/MENTAL REQUIREMENTS:
While performing the duties of this job, the employee is frequently required to do the following:
•  Must be able sit and/or stand for long periods of time, and work on a computer for extended periods.
•  Ability to lift and carry up to 50 lbs regularly.
•  Must be willing and able to occasionally work a flexible schedule, which may include weekends, evenings, and/or holidays
