Executive Assistant

Job Description:

The Executive Assistant (EA) delivers advanced administrative, operational, safety-program, and HR-related support to both the CEO and CFO. Serving as a central point for executive coordination, the EA manages internal communications, assists the Board, G&A operations, and supports important programs focused on company culture and employee experience. In this role, sound judgment, exceptional organizational skills, confidentiality, and the ability to handle complex, varied workflows are essential. The ideal candidate is proactive, relationship-focused, and excels at combining executive support, employee engagement, and cross-departmental administrative leadership.

ESSENTIAL DUTIES & RESPONSIBILITIES include the following.  Other exempt duties may be assigned.

CEO & CFO Executive Support

Collect and prepare data for use in discussions and meetings of the CEO/CFO, Company Directors, and department managers.
Act as a liaison between the board of directors and CEO/CFO with communications, printed material, monthly reports, and calendars. Assemble board books and presentation materials for board of director meetings.
Schedule complex travel arrangements, meetings, and events. Manage, coordinate, and track regular meetings directed by CEO or CFO. Handle correspondence generated by the CEO and CFO accordingly.
Track and support executive and administrative budgets and specific budgeted programs; reconcile receipts, and process monthly expense reports for CEO and CFO.
Attend biweekly Senior Management meetings and track action items.

Administrative Support

Maintain and manage the executive and corporate filing systems, including all legal files. Manage Contract Works software, loading and tracking contracts, and distributing NDAs for signatures.
Coordinate renewals of company federal, state and International registrations per the administrative calendar.
Serve as Safety Committee Coordinator, including scheduling meetings, preparing agendas, taking and distributing minutes, and tracking action plans. Maintain safety files, training logs, inspection results, and compliance documentation.
Maintain Business Continuity Program information and structure.
Provide administrative support across G&A functions (Finance, HR, IS).
Work with the Finance team to monitor insurance certificates and help manage insurance renewal schedules.
Coordinate vehicle title filing and fleet and lease documentation for Opus One vehicles.

Employee Programs & Culture Support

Lead the Fun Committee, including agenda planning, execution, and budget tracking.
Plan and coordinate company social events (BBQs, receptions, G&A lunches, milestone celebrations, Opus Open golf).
Manage employee seasonal gifting programs distributions of wine, turkeys, holiday cards, etc. as needed.
Maintains the Opus One Magnum Program.
Collaborate with HR and Hospitality on employee-experience events and culture-building activities.

QUALIFICATIONS

Minimum five (5) years of executive support experience, preferably in a fast-paced, dynamic environment.
Demonstrated ability to handle confidential information with integrity.
Skillful execution of administrative activities, with high attention to detail, organization and process.
Strong written and verbal communication skills. Ability to communicate clearly and effectively with senior leaders and external partners.
Highly organized and able to manage simultaneous priorities.
Proficiency in Microsoft 365, shared file systems, and contract management platforms.

PREFERRED QUALIFICATIONS

College Degree (Business degree or related field preferred)
Wine industry experience a plus
Notary Public
Experience with safety committees, compliance coordination, or operational oversight preferred
Foreign language skills (French or Spanish)

Physical ability to perform tasks that may require prolonged standing, sitting, lifting, and other activities necessary to perform essential job functions, with or without reasonable accommodation.

COMPENSATION: Base Compensation Range: $85,000 – $105,000 / annually*

* The base compensation range is base salary only. In addition to base compensation, all roles are eligible for individual performance bonus and company bonus that range from role to role. Some roles may also be eligible for overtime pay.
