We’re currently seeking a Payroll & People Operations Coordinator to join our Human Resources and Accounting team. This role is integral to both day-to-day and long-term operations, offering an opportunity for a detail-oriented, proactive professional who values confidentiality, thrives in a fast-paced environment, and enjoys supporting team success.
Core Responsibilities:
Payroll & Timekeeping
• Process bi-monthly payroll for 2 Entities (45-50 employees with 75+ during harvest)
• Prepare and audit timecards for manager approval
• Maintain and update hour tracking charts
• Enter and maintain employee payroll data in QuickBooks and time tracking software
• Process all payroll-related accounts payable invoices
Payroll Liabilities & Reporting
• Calculate and remit payroll tax liabilities:
o Federal and State taxes
o Cafeteria Plan contributions
o Child support and wage garnishments (as applicable)
o 401(k) contributions
• File and pay quarterly payroll tax reports including:
o Federal 941
o Oregon OQ
o Oregon Paid Family Medical Leave
• File and pay monthly Workers' Compensation reports
• Prepare payroll-related journal entries and allocations for month-end close
Commissions & PTO
• Calculate monthly commission reports for sales and tasting room employees
• Track and process all time off requests
• Maintain a shared PTO calendar for company-wide visibility
Benefits Administration
• Reconcile and pay monthly benefit premiums for:
o Medical
o Dental and Vision
o Life and Disability Insurance
New Hire
• Enter new hires in Quickbooks
• Assemble new hire packets and assist with onboarding paperwork
Accounting Support & Month-End Close
• Enter monthly production journal entries and commission accruals
• Reclassify payroll costs across departments
• Track and process payroll allocations for Vineyard labor
• Enter and reconcile monthly and quarterly state excise and sales tax reports
• Manage monthly billbacks
Other Responsibilities
• Review daily Sales Orders (SOs) for accuracy in OWS
• Assist in reviewing and processing FLC (Farm Labor Contractor) invoices during harvest
• Check weigh tags daily for accuracy and reconcile with FLC and Vintrace data
• Other special projects as needed
Requirements
• Proficient in QuickBooks Payroll, and Microsoft Office
• Experience with high-volume payroll, accounting, or HR administration
• Excellent organizational, written, and verbal communication skills
• Strong problem-solving ability; able to work well under pressure and meet deadlines
• Highly detail-oriented and confidential
Preferred Qualifications
• 3–5 years of payroll processing experience
• Degree in Accounting, Business, or a related field
• Wine industry experience is a plus
