Position Summary
The Controller is responsible for overseeing all accounting operations at Vineyard Professional Services (VPS). They are to ensure the accuracy and integrity of financial reporting, accounts payable and receivables for both Vineyard Professional Services and our vineyard clients. The Controller processes payroll each week. This role provides strategic financial leadership, supports management decision-making, and ensures compliance with all applicable laws, regulations, and accounting standards. As a service based business, attending to our clients’ needs in a professional and timely manner is a high priority. The Controller is ultimately accountable to the owner and President of Vineyard Professional Services. They report to the Chief Operating Officer.
Core Responsibilities
Oversee day-to-day accounting operations, including general ledger, accounts payable, and accounts receivable for VPS and all clients
Prepare AP reports and create checks biweekly for VPS and clients
Manage the VPS and client QuickBooks accounts
Manage bank accounts for VPS and all clients, including:
Daily monitoring of balances, cash flow, and working capital
Receive and track client funding payments
Oversee monthly statement reconciliations
Act on behalf of VPS as the primary contact to the bank
Deposit incoming checks for VPS and clients
Execute on all Payroll requirements:
Process payroll on a weekly basis, including reviewing timesheets, creation of paychecks and paying all payroll liabilities
Prepare federal and state quarterly and yearly payroll reports
Prepare and distribute W2s
Track employee time off and sick allowances; update time off calendar
Prepare monthly audits for Worker’s Compensation Insurance
Work with HR to enforce wage and hour laws
Collaborate with the COO to prepare and send out monthly budget vs actual reports and funding requests to all clients
Create standard reports and ad hoc reports for VPS and client tax accounting
Prepare and distribute annual 1099s
Create a weekly, internal metrics report for management
Invoice clients for labor and equipment on a weekly basis
Advise company executives on improvements to the accounting process
Oversee office maintenance, coordinating repair persons, the building owner and cleaning staff as needed
General office work, including but not limited to answering phones, maintaining files, and office organization as needed
Education & Experience
Bachelor’s degree in Accounting, Business, Finance, or a related field
CPA or CMA certification preferred
Minimum 5 years of payroll, progressive accounting or finance experience
Preferred experience in management
Skills & Competencies
Knowledge of GAAP and financial reporting principles
Strong knowledge of payroll laws, wage and order laws, and payroll tax liabilities
Advanced proficiency in QuickBooks; strong Excel and Google Suite skills required
Excellent analytical, organizational, and problem-solving abilities
High level of integrity, accuracy, and attention to detail
Effective communication skills, with the ability to present financial information clearly
Role Expectation
The controller hired should be sufficiently competent in accounting and payroll to be able to execute on these responsibilities with only internal operational training required
The hired person is expected to act in accordance to the VPS Values and provide a high level of customer service to our clients
Working Conditions
Office-based or hybrid environment, depending on organizational needs
Requires sitting at a desk, utilizing a computer for the entirety of the shift
Periodic extended hours may be required during month-end, year-end, or audit periods
