European Wine Importing Company Seeking Operations Manager

*MUST have Operations experience and be available to work in the North Miami office 4 days per week*
*AlcBev experience required*

This French-owned company is the exclusive U.S. importer and distributor for its parent company’s portfolio of wines. The core mission is to continue building the group’s prestigious French wine houses through expanded distribution, strengthened distributor relationships, and well-executed marketing plans.

Job Basics:

Location: Miami, FL – USA Headquarters
4 days/week in office, 1 day flexible remote

Reports To: CEO / COO
Collaborates With:
- Finance & Admin Director
- Director of National Accounts – Off Premise
- Marketing Manager
- VP of Sales
- Regional Sales Directors

Position Summary:

The Operations Manager / Compliance & Commercial Analytics Specialist ensures the smooth functioning of U.S. operational, compliance, and financial control processes. This role sits at the intersection of Operations, Compliance, Finance, and Commercial Strategy, with growing responsibility for margin control, financial accuracy, and strategic performance analytics.

The ideal candidate is highly analytical and has the ambition and capability to eventually oversee the company’s Finance function.

Essential Functions & Responsibilities
Commercial Analytics & Financial Control:

-Own commercial financial reporting (depletions, pricing, margins, chargebacks, profitability by brand, chain, and distributor).
-Build dashboards and tools to monitor:
- Gross-to-net performance
- Allowances and program spending
- P&L impact of sales decisions
- State-by-state pricing architecture
- Inventory value, rotation, aging, and cost impact
-Analyze distributor chargebacks, incentives, and marketing program claims for accuracy and compliance.
-Partner closely with Regional Directors and National Accounts on:
- Pricing decisions
- Program ROI evaluation
- Financial impact of new listings, resets, and authorizations
-Support monthly finance close by validating:
- Accruals (programs, incentives, logistics)
- Distributor deductions
- Inventory adjustments
- Freight and warehousing cost allocations
-Strengthen internal controls related to approvals, submissions, and pricing structures.
-Provide financial modeling and scenario analysis to support annual budgeting and forecasting.

Operations Management
-Oversee day-to-day operations related to importation, transportation, warehouse coordination, and product flow.
-Ensure accuracy and alignment of orders, invoicing, inventory data, and logistics documentation.
-Monitor operational KPIs and lead initiatives to improve cost efficiency.
-Liaise with 3PL partners, customs brokers, freight forwarders, and distributors.

Regulatory Compliance
-Manage all federal and state compliance processes, including brand registrations, COLAs, renewals, tax filings, and state submissions.
-Ensure compliant price postings, chain submissions, incentive documentation, and legal accuracy.
-Maintain structured, auditable compliance files and digital traceability for all programs.

Cross-Functional Leadership & Future Growth
-Support CEO/COO, Finance, Sales, and Marketing with decision-ready analytics and operational insights.
-Lead improvements to systems, reporting processes, and internal controls.
-Serve as a bridge between Operations and Finance, ensuring transparency and discipline.
-Develop toward overseeing the Finance function, including team leadership, budgeting, reporting, and strategic financial planning.

Qualifications & Requirements
Experience & Industry Knowledge:

-Bachelor’s degree in Finance, Accounting, Business, Economics, Supply Chain, or related field.
-3–5+ years of experience in finance, commercial analysis, operations, or compliance.
-Advanced financial modeling and analytical skills (Excel mastery required).
**ERP experience required (Dynamics 365 Business Central strongly preferred).**
-Understanding of U.S. alcohol beverage regulations (TTB and state compliance) strongly preferred.
*Wine & Spirits or CPG experience a plus.*

Skills & Competencies
-Highly analytical with strong business acumen.
-Comfortable working with P&L drivers, accruals, and margin logic.
-Strong organizational skills and exceptional attention to detail.
-Ability to manage complex, multi-state compliance environments.
-Clear communicator able to present insights to senior leadership.
-Ambition to grow into a Finance & Operations Director role.

Working Conditions & Physical Requirements
-Based at the Miami headquarters.
-Occasional travel; occasional weekend and holiday work.
-Must be available during business hours and flexible during peak periods.
-Frequent computer and phone use requiring repetitive hand and wrist motions.
-Ability to sit, stand, or walk for prolonged periods.
-Valid driver’s license required.
-Must be able to lift and carry up to 50 lbs (wine cases and promotional materials).
-Ability to bend, stoop, kneel, crouch, reach, or climb as needed.
