POSITION SUMMARY:

The HR Specialist, Operations & Payroll is a shared-services role supporting both Human Resources and Payroll by ensuring accurate, timely, and compliant processing of employee data and transactions across systems. This role plays a critical part in maintaining data integrity, supporting payroll and leave processes, and delivering a consistent, high-quality employee experience.

Key responsibilities include employee lifecycle processing, onboarding and offboarding coordination, HRIS and payroll data management, payroll and leave-related support, audits and reconciliations, document governance, and cross-functional operational support. The role partners closely with HR, Payroll, and internal stakeholders to support compliance, operational efficiency, and continuous process improvement.



ESSENTIAL FUNCTIONS/DUTIES:

HR Operations & Employee Lifecycle
• 
Processes employee lifecycle transactions (hires, job changes, transfers, and terminations) across HRIS and payroll systems, ensuring accuracy, timeliness, and compliance
• 
Audits new hire and employee records for completeness and accuracy; follows up on discrepancies and missing documentation.
• 
Coordinates compliant onboarding processes, including pre-employment testing, document collection, system setup, and first-day support.
• 
Conducts I-9 verification meetings with new hires as required, ensuring compliance with federal and state regulations.
• 
Maintains accurate, confidential electronic and physical personnel records in accordance with document retention and privacy requirements.
• 
Uploads and manages HR and Payroll documentation to HRIS following established protocols.
• 
Assists with maintaining and updating onboarding and employee-facing HR materials, including benefits information, regulatory notices, and required handouts.
• 
Prepares standard HR reports (new hire, separation, headcount, etc) using HRIS data.
• 
Supports HR programs and compliance initiatives such as labor law postings, OSHA reporting, commuter benefits, rewards and recognition tracking, and company-wide annual programs.
• 
Coordinates HR-related invoicing with Accounts Payable in accordance with established processes.

Payroll & Leave Support

•  Supports payroll operations including garnishment setup and ongoing administration, ensuring accuracy and compliance with applicable regulations.
•  Assists Payroll with termination processing, payroll audits, and reconciliations as assigned.
•  Provides backup support for leave of absence administration and tracking, including coordination of payroll impacts, benefits continuation, and system updates.
•  Partners with Payroll and HR team members to ensure accurate data flow between HRIS, payroll, and leave systems.

Service Delivery & Collaboration

•  Provides responsive support to the HR Direct Service Center, addressing employee inquiries within established service-level expectations and escalating issues as appropriate.
•  Provides backup support to other HR Specialists and the Payroll team as needed to ensure continuity of operations.
•  Collaborates with HR and Payroll team members to improve workflows, documentation, and service delivery.
•  Performs general HR and Payroll administrative support tasks related to document management, reporting, and operational coordination as well as owning mail services and collection and distribution for HR department.
•  Performs other duties as assigned.



JOB REQUIREMENTS:

Essential Skills, Experience, and Education
• 
2-4 years of experience supporting Human Resources and/or Payroll operations.
• 
Working knowledge of HRIS systems; UKG Pro experience strongly preferred.
• 
Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
• 
Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.
• 
Working knowledge of federal and state employment laws and regulations.
• 
Demonstrated ability to handle confidential information with discretion and professionalism.
• 
Written and verbal fluency in Spanish strongly preferred.

WAGE TRANSPARENCY: The base pay for this role ranges from $26-$27 hourly. Compensation will be determined by candidate experience, skills, and location.
