Part-Time Contractor: Executive Director

We are seeking a highly organized, self-motivated professional to serve as the central operational and engagement lead for the Association. This part-time contractor role plays a critical role in supporting our members, coordinating signature wine events, managing communications and marketing efforts, and representing the Umpqua Valley wine industry locally and beyond.
Position Overview
The Executive Director is a multifaceted role that blends administration, event coordination, marketing, bookkeeping, and industry relations. This position works closely with the UVWA Board of Directors and member wineries to ensure smooth operations, strong communication, and continued growth of the Association.
This role is ideal for someone who is computer savvy, highly organized, an excellent written communicator, and genuinely passionate about the wine industry and regional advocacy. Wine industry experience is strongly recommended.

To promote the Umpqua Valley’s wineries, vineyards and wines in partnership with its members, community, destination marketing and economic development organizations to increase tourism, wine sales and acclaim as a pioneering and authentic world-class wine experience.
Key Responsibilities
Membership & Administration
- Manage member renewals, invoicing, payments, approvals, and website updates.
- Maintain membership records and contact lists.
- Prepare monthly Board meeting packets, attend meetings, and record and publish minutes.
- Serve as the primary point of contact for member and public inquiries.
- Engage with current and prospective wineries through outreach and in-person visits.
- Coordinate bi-monthly industry mixers and share wine submission opportunities.
- Manage annual compliance tasks, including insurance renewals and state filings.
Events
- Plan and execute UVWA’s annual signature events, including Greatest of the Grape, Umpqua Valley Cellar Experience, Pairing Pass Weekend, and Seven Feathers Wine Fest, and Winesgiving Weekend.
- Coordinate winery participation, logistics, printed materials, website updates, and promotion.
Industry Representation
- Represent UVWA at regional tourism and economic development meetings, as well as state wine industry meetings.
- Collaborate with local businesses and tourism organizations to promote the region.
- Act as an advocate for the Umpqua Valley wine industry.
Financial & Grant Support
- Handle basic bookkeeping tasks, including deposits, bill payment, reconciliations, and monthly financial reports using QuickBooks Online.
- Assist with budget development and tracking.
- Research grant opportunities, prepare applications, and complete grant reporting.
- Support fundraising initiatives and explore new revenue opportunities.
Digital Marketing & Communications
- Oversee UVWA’s social media presence on Instagram and Facebook, partnering with contractors on expanded efforts when grant funding is available.
- Update and maintain the WordPress website, including event listings, member content, SEO, and analytics review.
Education
- Plan and host technical tastings and Direct-to-Consumer training sessions throughout the year.
Marketing & Public Relations (manage contractors for these grant-funded projects)
- Design, produce, and distribute the annual Umpqua Valley Wine Trail Map.
- Create and distribute email newsletters and automated email campaigns.
- Coordinate media visits and build/maintain relationships with wine writers and bloggers.
- Refresh photography portfolio every few years, and maintain a shared photo library.
Skills & Qualifications
- Strong computer skills, including Microsoft Office and Google Workspace.
- Working knowledge of QuickBooks or similar accounting software.
- Excellent written communication skills; able to write clear, professional emails, grant applications, and marketing content.
- Highly organized, detail-oriented, and able to manage multiple projects simultaneously.
- Comfortable working independently and proactively without any direction.
- Passion for the wine industry and enthusiasm for advocating on behalf of regional producers.
- Familiarity with WordPress, social media platforms, and email marketing tools is a plus.
- Prior experience with wine/tourism organizations and non-profits/trade associations, is strongly preferred.
Additional Details
- Part-time, contract position with flexible scheduling.
- Some evening and weekend work required for events and meetings.
- Local travel within the Umpqua Valley is required.
- Compensation commensurate with experience.
