Revana Vineyards - Director of Events

We are a high-end, family-owned collection of 3 organically-farmed estate wineries producing wines of place, precision and intention.

Revana Estate - St. Helena, Napa Valley - est. 1997
Alexana Estate - Dundee Hills, Willamette Valley - est. 2005
Bodega Corazón del Sol - Los Chacayes, Uco Valley, Mendoza - est. 2008

Our portfolio is represented in top-tier restaurants, private clubs, resorts, and collector circles across the country, while our estate properties are recognized as premier destinations for luxury wine experiences.

This role is focused on developing and managing an events program that covers a diverse range of categories including the following:

- Winery events (on-site)
- Private events (on-site)
- Off-site events (partner off-site events)
- In-home tastings/dinners (client off-site)
- Auction events (off-site)
- Wholesale events (off-site & partner events)

The primary objective of the Director of Events is to create and manage a sustainable events program, optimizing team members' time and fostering revenue growth. This role involves developing Standard Operating Procedures for each event category, approving proposed events, managing event sales, and providing on-site assistance as needed.

You will be responsible for overseeing the annual calendar and workback schedule of all events within the Revana Vineyards program in collaboration with Directors of Hospitality, Estate Directors and Executive Team.

Key Responsibilities

1. Strategic Program Development/Revenue Growth & Sustainability:
•  Develop and implement a comprehensive events program that aligns with the unique characteristics of each brand, covering Revana Estate, Alexana Estate, and Corazon del Sol.
•  Expand the program to include offsite events, auctions, in-home tastings, and wholesale events.
•  Create detailed SOPs for each event category to determine event proposal feasibility, planning, and execution and maximize team efficiency.
•  Ensure SOPs are comprehensive and adaptable for use by individual teams.
•  Strategically leverage procedures to empower individual hospitality teams to execute events independently.
•  Identify opportunities for revenue growth and sustainable event development, driving the long-term success of the events program.


2. Cross-Winery Collaboration:
•  Collaborate with hospitality teams across Revana Estate, Alexana Estate, and Corazon del Sol to ensure seamless execution of events.
•  Oversee and approve event sales strategies, working in tandem with individual teams to maximize revenue.


3. Event Planning & Management:
•  Responsible for selling, planning, and executing events.
•  Field and respond to incoming leads.
•  Conduct Alexana venue site visits for prospective clients.
•  Creation of cost estimates for prospective events.
•  Communication with vendors, organize delivery dates, set-up and breakdown of events and managing client expectations.
•  Prepares and acts as signer for all event contracts.
•  Obtains necessary information from the client to ensure efficient event execution and client satisfaction to include room setups, food and beverage specifications, timeline, and billing.
•  Distributes all pertinent information to the operating departments in a timely and understandable manner based on the procedures in place.
•  Monitors and ensures client satisfaction throughout planning and execution of the event.
•  Contributes to the sales effort by encouraging repeat business and up selling.
•  Responsible for scheduling setup and teardown for execution of events.
•  Create expense and gratuity reports for accounting.
•  Maintain ongoing list of profit & loss comparisons for events and assessing successes and or improvements needed.


4. Event Oversight and Execution Assistance:
•  Be on-site as needed to assist with the execution of key events, providing guidance and support.
•  Maintain a high level of involvement in major events to ensure consistency and excellence in execution.
•  Seek feedback from team members following events to learn of opportunities to improve.
•  Implement measures for quality assurance to ensure that each event aligns with brand standards and meets client expectations.


5. Master Calendar
•  Update events schedule for events across the company to ensure accuracy and communication across the teams.


6. Marketing & Regional Outreach
•  Work with marketing team in creation of promotional materials (email, Tock, text promotions, etc.) and collateral needed for events (menus, order forms, posters, tasting mats, brochures, etc.)

Required Qualifications
•  Minimum 3+ years in a director or equivalent role.
•  Proven success managing and selling events.
•  Exceptional interpersonal, presentation, and hospitality skills.
•  Highly organized, self-directed, and comfortable operating independently.
•  Excellent computer and software skills with proficiency in Winery Software Programs such as Commerce 7 etc.
•  Strong communication skills with the ability to direct a team to manage high level events.
