Job Title: Executive Administrator, reports to President/Winemaker

We are now seeking a dynamic and experienced Executive Administrator to join our team.
Position Summary:
The Executive Administrator serves as the operational backbone supporting Bouchaine’s President and management team. This dynamic role blends administrative excellence, office management, project coordination, and organizational know-how with a hospitality mindset to ensure smooth business operations in a fast-paced, hands-on environment. Ideal candidates enjoy wearing multiple hats and take pride in elevating organizational efficiency and excellence.
Key Responsibilities:
Executive Support
• Manage calendars, meetings, appointments, and travel logistics
• Support management communications to include meeting materials and datasets
• Draft correspondence and handle confidential information with discretion
• Assist with special projects, follow-ups, and strategic initiatives
Office & Business Operations
• Serve as primary point of contact for office vendors, IT, and professional services
• Maintain business records, licenses, compliance documentation, and filing systems
• Support expense reports, and light bookkeeping tasks
• Order office supplies, monitor equipment, and ensure a well-organized workspace
HR & People Coordination
• Assist with scheduling for recruiting, onboarding, and training coordination
• Support HR policy administration
• Coordinate internal communications, staff meetings, and team events
Hospitality & Customer Contact
• Provide occasional support to tasting room/front-of-house when needed
• Assist with wine club phone queries, reservations, and customer requests
• Help with events coordination and logistics, especially VIP visits
Marketing & Communication Support
• Assist with social media scheduling, website updates, and digital assets
• Maintain mailing lists, CRM data entry, and newsletter preparation
• Coordinate printing needs, collateral, and vendor communication
• Liaise with external partners (industry associations, tourism groups, service vendors).
Required Qualifications
• 3+ years in administrative support or operations, ideally in wine or hospitality
• Exceptional organizational abilities with strong attention to detail
• Proficiency with Microsoft Office
• Strong written and verbal communication skills
• Ability to handle sensitive information with undisputed integrity
• Comfortable multitasking and adapting in a fast-paced small-business environment
• Customer service experience
Work Environment
• On-site at the winery, typically early shift (8 am start)
• Ability to occasionally assist with evening or weekend events
• Must be able to lift up to 30 lbs. (because sometimes wine needs a hero)
