Job Summary:
The Accounting and HR Adminsitrator is responsible for ensuring accurate and timely payroll processing while providing essential support for HR functions and day-to-day accounting operations. This role gathers and reviews employee time records, verifies hours and wage calculations, processes earnings and deductions, and maintains compliant payroll and personnel records.
In addition to payroll responsibilities, this position manages key Accounts Payable and Accounts Receivable duties, including processing vendor invoices, preparing payments, maintaining AP/AR files, issuing customer invoices, and tracking incoming payments. The administrator also reconciles accounts, resolves discrepancies, and supports month-end and year-end reporting.
By performing these combined HR, payroll, and accounting functions, the Administrator plays a vital role in maintaining accurate financial and employee records, ensuring compliance with company policies and regulations, and supporting the overall efficiency of business operations.
Responsibilities:
Payroll Administration
• Collect, review, and process employee timesheets, including seasonal and hourly field crews, ensuring accuracy and compliance with labor laws and company policies.
• Verify wage calculations, piece-rate entries (if applicable), overtime, rest/meal period premiums, and any state-specific agricultural wage requirements.
• Maintain payroll records, employee files, and all supporting documentation in accordance with federal, state, and agricultural industry regulations.
• Process garnishments, deductions, benefits contributions, reimbursements, and wage adjustments.
• Prepare and distribute pay statements and address payroll-related inquiries from employees in a timely and professional manner.
• Assist with payroll audits, workers’ compensation reporting, and year-end reporting (W-2, ACA, etc.).
Human Resources Support
• Assist with onboarding and offboarding processes, including new-hire paperwork, I-9 verification, safety training documentation, and distribution of company policies.
• Maintain confidential personnel files and ensure compliance with agricultural labor contractor (FLC) requirements, when applicable.
Accounts Payable (AP)
• Receive, review, and process vendor invoices related to farming operations, including supplies, chemicals, fuel, equipment maintenance, and contract services.
• Verify coding accuracy and ensure proper approvals before issuing payments.
• Reconcile vendor statements, resolve discrepancies, and maintain strong vendor relationships.
• Prepare weekly payment runs and maintain organized AP files for audit readiness.
Accounts Receivable (AR)
• Prepare and issue monthly client invoices, ensuring accuracy based on work performed, contract terms, and seasonal farming activities.
• Track incoming payments, record deposits, and follow up on outstanding receivables.
• Maintain up-to-date AR aging reports and communicate regularly with management regarding collection status.
General Administrative Duties
• Provide administrative support to supervisors, managers, and field operations as needed.
• Maintain organized digital and physical filing systems for payroll, HR, and accounting documentation.
• Support compliance with safety programs, agency inspections, and regulatory reporting requirements.
Desired Qualifications:
• College Degree or 3-5 years experience in similar role
• Bilingual English/Spanish preferred
• Ability to stay organized while paying close attention to details
• Outstanding accounting and reporting skills
• Strong communication and customer service skills, both verbal and written
• Strong data processing skills
• Excellent analytical skills
• Able to prioritize and multitask effectively
• High School Diploma, GED, or equivalent required
• Previous AP experience preferred
