Position Overview:
The Operations and Sales Support Specialist will play a crucial role in enhancing the efficiency of our sales processes and supporting the
operations team. This position requires a detail-oriented individual who can manage multiple tasks, communicate effectively, and collaborate
with various departments to drive sales growth and operational excellence.
Key Responsibilities:
Sales Support:
o Assist the sales team with administrative tasks, including preparing customer estimates and sales orders when requested.
o Help maintain and update the customer database and sales tracking systems.
o Schedule outbound trucking to customers.
o Monitor and communicate with trucking companies when issues arise.
o Respond to customer inquiries when requested and provide timely information to support sales efforts.
o Generate and send invoices to customers as requested.
Operations Support:
o Assist with new item setups, vendor cost updates, purchase order and sales order updates.
o Monitor inventory levels and assist in ordering materials to fulfill customer orders.
o Assist with vendor management and the development of new vendors.
o Schedule inbound/outbound logistics to 3PL partners and from vendors as needed.
o Assist in the scheduling of containers from overseas with freight forwarders and vendors.
o Assist with entering vendor invoices.
o Assist in implementing and maintaining operational procedures and policies.
o Collaborate with the operations team to streamline processes and improve efficiency.
o Analyze data and contribute to decision-making, strategic, and financial planning with management and operations team.
Cross-Functional Collaboration:
o Work closely with all stakeholders to ensure alignment and support business objectives.
o Participate in team meetings and contribute to continuous improvement initiatives
Relationship Management:
o Help maintain strong relationships with customers and vendors by ensuring high-quality service and support.
o Gather feedback to identify areas for improvement.
Qualifications:
• Bachelor’s degree in Business Administration, Operations Management, or a related field preferred.
• Proven experience in sales support, operations, or administrative roles.
• Strong organizational skills and attention to detail.
• Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software.
• Proficient in QuickBooks.
• Excellent communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Problem-solving mindset and ability to handle multiple priorities.
