Accounting and Administrative Specialist

Alexandria Nicole Cellars is a family-owned Winery and Vineyard located in the heart of Washington’s Wine Country. As a boutique winery, we produce small-lot of handcrafted wines from our Estate Vineyard, Destiny Ridge is located in the Horse Heaven Hills.

Job Description:
This full-time position works directly under the Owner and Accountant/Controller while collaborating closely with multiple departments on a daily basis. The role combines bookkeeping, administrative support, office operations, and basic compliance duties. The ideal candidate is efficient, detail focused, proactive, and comfortable working both independently and within a team environment. Strong communication and accuracy are essential for success.

Compensation:
•  Hourly wage would be $20.00-$26.00 per hour DOE.

Core Responsibilities:
Accounting and Finance Support
•  Process accounts payable and accounts receivable in an accurate and timely manner
•  Confirm proper approval of all invoices and payments prior to processing
•  Record invoices and transactions in QuickBooks with correct dates and accounting periods
•  Assist in preparation of month end close work papers and balance support
•  Reconcile bank and credit card statements monthly
•  Maintain accurate vendor records including addresses, contacts, and remit information
•  Communicate with vendors regarding invoice and payment status
•  Assist with maintaining inventory reconciliation across warehouse locations
•  Help ensure compliance with all financial, accounting, tax, and relevant industry regulations

Payroll and HR Clerical Support
•  Prepare timecard calculations for employees and contracted labor
•  Assist with payroll processing, check writing, or reporting to contracted payroll services
•  Support preparation and submission of State and Federal quarterly and year end payroll reports
•  Process payroll tax payments as required
•  Maintain confidential personnel and payroll files
•  Support onboarding tasks and employee record upkeep
•  Respond to employment verification requests when needed

Office and Administrative Support
•  Support day to day office operations and maintain organized administrative workflows
•  Answer phones, distribute messages, and manage incoming and outgoing mail
•  Maintain filing systems so records remain updated and easily accessible
•  Use office equipment and computers for word processing, spreadsheets, and general operations
•  Assist with agenda preparation, meeting notes, and minutes
•  Help manage departmental calendars, schedules, and appointments
•  Monitor and order office supplies and assist with ordering vineyard and production supplies
•  Prepare, format, proofread, and edit documents
•  Assist with travel arrangements and event or meeting venue bookings
•  Run various errands as needed

Compliance and Winery Support
•  Assist with basic winery compliance tasks and administrative support related to reporting
•  Provide clerical support to multiple departments at Destiny Ridge and other locations
•  Maintain confidentiality while ensuring compliance with applicable regulations

Qualifications & Skills:
•  Minimum 2 years experience in Accounting, Bookkeeping, Clerical, or Office Administration
•  Working knowledge of QuickBooks Online and POS systems
•  High proficiency with Microsoft Excel, Word, and Outlook
•  Accurate data entry skills including 10 key by touch
•  Strong organizational abilities with excellent attention to detail
•  Effective verbal and written communication skills
•  Experience maintaining files, records, and administrative systems
•  Ability to manage multiple tasks with strong time management
•  Creative problem solving and innovative thinking
•  Discretion, sound judgment, tact, and professionalism
•  Proven ability to work independently and as part of a team
•  Ability to lift 40 to 50 pounds
•  Clean driving record with Washington State DMV
•  No criminal history (background check required)
•  Willingness to travel as needed
•  Wine industry experience preferred
•  High school diploma or equivalent required
