Office Clerk

Job Description:

The office clerk supports the entire vineyard management operation in Lake County and part of Napa County; reports to the Operations Manager and Office Manager. The busiest time is during the spray season and harvest, usually the months of April through June and August through October. The work includes all office functions from ordering supplies, running reports, arranging meetings, processing payroll, and assisting with farm labor contractor invoice reconciliation. This is a one-person office and requires someone who will work independently and enjoy working with minimal contact with other individuals. This is a part time position 20-30 hours per week, with the ability to grow into 30+ hours per week.

Summary: Compile and enter employee time and payroll data. Review completed payroll run for errors before releasing to Lodi office. Maintain HRIS database by entering new hires, layoffs, terminations, etc. Assist with receptionist duties. Maintain office and kitchen supplies. Provide administrative and secretarial support to Administrative Coordinator which includes heavy data entry. Other duties as assigned.

Job Responsibilities

Payroll
•  Review timecards for accuracy and completeness.
•  Follow up with Vineyard Managers on any missing or incomplete data.
•  Enter timecards and run payroll reports.
•  Follow up on any possible errors and correct within timelines required.
•  Enter data for new hires, terminations, layoffs and rehires into HRIS. Run reports.

Office Assistant
•  Answer multi-line telephone
•  Greet visitors when Admin Manager is not in or not at desk
•  Order and maintain office and kitchen supplies (coffee, sodas, snacks)
•  Prepare and maintain Ranch files, Map files, and Employee Personnel files
•  Assist when someone comes in and does not speak English

Administrative
•  Assist Admin Manager with data entry for various reports needed depending on the season.
•  Assist HR Manager w/updating WC information in HRIS.
•  Assist HR Manager w/new hire re-hire paperwork and filing.

Computer Expertise
•  Microsoft Windows
•  Microsoft Office
•  Intermediate Excel or higher
•  Intermediate Word, Access, and Outlook
•  Any payroll software
•  Accurate ten key by touch

Physical Environment and Demands
•  Business casual office environment
•  Must be able to lift up to 20 lbs.
•  Must be able to hear with understanding
•  Must be able to speak with clarity
•  Must be able to handle heavy data entry on keyboard
•  Must be able to manipulate papers, files, and other common workplace items

Experience
•  Preferred – bilingual English/Spanish
•  General office experience – three+ years
•  Payroll experience required – knowledge of piece rate work is helpful
•  Human resources experience helpful but not required.
