POSITION SUMMARY:
The Assistant Property Manager supports the day-to-day operations and management of the commercial offices, vineyard offices and the housing portfolio for the various Jackson Family entities in California and Oregon. This role works closely with the Senior Property Manager and Real Estate Team to coordinate tenant occupancy, lease administration, maintenance scheduling, compliance with lease terms and housing standards, maintains contract and insurance records, and manages accounting/invoicing and payment against contracts. The position also assists with renovation projects, contractor coordination, and preventive maintenance planning.
ESSENTIAL FUNCTIONS/DUTIES:
• Coordinate tenant move-ins and move-outs, including scheduling property walk-throughs and ensuring housing readiness in coordination with the Senior Property Manager.
• Maintain accurate housing inventory records and assist with scheduling unit turnovers in coordination with the Senior Property Manager.
• Support lease administration by updating tenant leases and assisting in the development and implementation of procedures to ensure tenant compliance with lease terms.
• Scheduling and coordination of routine and preventive maintenance services (e.g., HVAC, pest control, chimney cleaning, water systems, roofing, septic pumping, etc.).
• Respond to service requests by logging work orders, prioritizing issues, and facilitating appropriate action by internal staff or external contractors.
• Help coordinate and oversee repair and maintenance contracts; ensure timely and cost-effective completion of work.
• Assist in the administration of project contracts, invoicing and purchase orders.
• Assist in preparing scopes of work and soliciting bids for repairs, renovations, or service contracts.
• Assist with construction permitting, research, coordination and compliance with building laws with guidance from the Real Estate Department.
• Maintain and update maintenance calendars and work orders to ensure ongoing property upkeep and avoid deferred maintenance.
• Participate in special projects, policy updates, and standards development as assigned by the Senior Property Manager or other Real Estate Team members.
• Collaborate with Real Estate Team members to complete time-sensitive repairs, renovations, and tenant-related tasks efficiently.
• Help maintain documentation for new property acquisitions, including specifications, maintenance needs, and occupancy preparation.
• Monitor compliance of contract requirements ensuring all conditions are satisfied before approval of the final invoice/retention.
• Manage liens and ensure lien releases are obtained before approval of final invoice.
• Create and maintain all purchase orders for the Real Estate team.
• Review certificates of insurance for compliance and maintain certificate of insurance log for the Real Estate team.
• Manage all invoices, payments, and progress/compliance against contract.
• Perform special projects as directed by Supervisor.
JOB REQUIREMENTS:
Essential Skills, Experience, and Education
• Bachelor's or Associate's degree, or equivalent experience, may substitute for a degree.
• Valid California Driver's license, clean DMV record and reliable transportation.
• Ability to maintain professional decorum in the office environment.
• Flexibility and multi-tasking skills preferred.
• Cooperative/adaptable and able to work with different people, groups, and settings.
• Excellent communication skills, written and verbal.
• Skills in writing, negotiating, and interpreting contractual agreements.
• 2-4 years of progressively responsible property/construction/maintenance or related experience.
• Knowledge of contract and tenant/landlord law, accounts payable, property management, maintenance and construction, electrical, plumbing, mechanical and carpentry, plus familiarity with expertise needed in performing these activities, such that a contract can be understood and negotiated.
• Property management/maintenance and/or accounting software such as AppFolio, Word, Excel, JD Edwards, or similar accounting software.
• Ability to work overtime, and after-hours emergency shift occasionally.
• Some travel to outlying sites in various counties and states.
• Property inventory is in rural, farmland locations thus the candidate must be able, at times, to perform physical demands of the job which may include onsite hiking, lifting and carrying of heavy equipment/supplies, etc.
WAGE TRANSPARENCY:
The base pay for this role ranges from $26.00-$34.00 per hour. Compensation will be determined by candidate experience, skills, and location.
