About Wineries
This is a role that is responsible for two, jointly owned, small, family-owned, luxury wineries located in Paso Robles. The primary winery is currently building a new production facility and hospitality center, set to open in Summer 2026. Its sister winery is establishing its Vineyards and Hospitality Estate in 2027. Both wineries share a commitment to craftsmanship and hospitality, selling primarily Direct-to-Consumer through their active membership programs.
Position Overview
We are seeking a full-time Accounting Manager to oversee all bookkeeping and accounting operations for both wineries. This role is ideal for a self-motivated and detail-oriented professional with strong communication and organizational skills. You’ll play a vital role in ensuring accurate financial management and reporting, while collaborating closely with team members across both wineries. The position is responsible for all day-to-day bookkeeping, accounting, financial reporting and compliance activities for both wineries. This role ensures accurate financial records, timely reporting, and adherence to GAAP and industry-specific regulations. The ideal candidate combines strong technical accounting skills with a practical understanding of winery operations, cost of goods, and inventory management.
Essential Duties and Responsibilities:
1. General Accounting & Bookkeeping
• Maintain accurate general ledger entries and supporting schedules.
• Perform all day-to-day bookkeeping duties: journal entries, reconciliations & account maintenance.
• Manage month-end and year-end closing processes.
• Prepare monthly, quarterly, and annual financial statements (Balance Sheet, P&L, Cash Flow).
• Reconcile all bank, credit card, and loan accounts regularly.
• Track fixed assets and record depreciation.
2. Accounts Payable (A/P)
• Enter and code vendor invoices; ensure accurate GL coding.
• Match purchase orders, packing slips, and invoices where applicable.
• Schedule and process payments via check, ACH, or online bill pay.
• Maintain vendor records, W-9s, and prepare annual 1099s.
• Monitor payment terms and cash flow timing.
3. Accounts Receivable (A/R)
• Generate and send invoices for wholesale/distribution and custom crush clients (if applicable).
• Record and apply customer payments; follow up on past due accounts.
• Coordinate with DTC/club software to reconcile e-commerce, tasting room, and wine club sales.
• Ensure correct sales tax and excise tax treatment on all transactions.
4. Payroll & HR Support
• Process biweekly or monthly payroll through third-party payroll service.
• Record payroll journal entries, including taxes and benefits.
• Maintain employee records, vacation/sick accruals, benefits tracking/reconciliation.
• File quarterly payroll tax reports and annual W-2s (or review third-party filings).
• In coordination with outsourced HR firm:
o Lead Employee on/off boarding working with outsourced HR company.
5. Inventory & Cost Accounting
• Track and reconcile bulk wine, bottled wine, and packaging inventory.
• Work with winemaking team to record journal entries for wine movements, bottling, and COGS allocations.
• Maintain standard costs and perform variance analysis between actual and standard costs.
• Reconcile periodic physical inventory counts.
6. Compliance & Reporting
• Prepare and file all applicable government filings, including:
• Federal and state excise tax reports.
• Property and business license renewals.
• Support external CPA for annual income tax returns and financial reviews.
• Ensure compliance with GAAP and internal controls.
7. Financial Planning, Analysis & Management Reporting
• Provide monthly financial statements with variance explanations.
• Develop and monitor annual budgets and forecasts.
• Track and report key performance metrics (e.g., sales by channel, cost per case, gross margin).
• Provide cash flow projections and working capital analyses.
• Assist management in strategic decision-making with financial insights.
8. Systems & Process Management
• Maintain accounting software (QuickBooks) and ensure proper integration with POS (C7) and other DTC systems (Ship Compliant, Tock, Enolytics, etc.).
• Ensure data integrity across accounting, POS, and inventory systems.
• Recommend process improvements for efficiency and accuracy.
9. Audit & External Relations
• Coordinate with external CPA, auditors, insurance brokers, and banks.
• Prepare documentation for annual reviews or audits.
• Maintain organized financial records in accordance with record retention policies.
10. Administrative & Cross-Departmental Support
• Support winery leadership with ad hoc financial analysis or reporting.
• Collaborate with production, sales, and hospitality teams to ensure accurate data flow.
• Oversee and maintain vendor contracts, insurance policies, and renewals.
• Handle confidential financial and personnel information with discretion.
Professional Requirements:
Viable candidate for this role must possess a broad accounting skills, with solid career in bookkeeping skills and accounting management. While not exhaustive, the following should be included in a viable candidate’s background:
1. Full-time, in office position at winery location, with remote work ability on an as needed basis.
2. Education background: Bachelor of Accounting or Business Administration with accounting emphasis required.
3. Experience level: 5-7 years of Accounting Manager level experience, and experience in Wine Industry preferred.
4. Knowledge of software: proficient with QuickBooks (desktop and/or online) + MS Office
5. Proven AP, AR, general ledger management, budgeting and variance analysis
6. Understanding of wine Cost of Goods accounting
7. Excellent organizational skills and attention to detail
