Jordan Vineyard & Winery - an iconic, French-inspired estate in Sonoma County—is seeking a Visitor Experiences Coordinator to serve as the warm, engaging first point of contact for our guests.
In this pivotal role, you’ll be the voice and heart of our guest experience, guiding visitors through their journey—from the first call to their final farewell. Whether answering inquiries, managing bookings, or collaborating with our trade partners and internal departments to create seamless, personalized visits, you’ll set the tone for the world-class hospitality Jordan is known for.

Essential Duties and Responsibilities (other duties may be assigned)
• Train in and become proficient with winery reservation systems
• Respond to guest inquiries via phone, email, and in-person in a warm, timely, and professional manner
• Serve as a key point of contact for all trade and media visits
• Build guest relationships to foster long-term loyalty
• Maintain accurate data entry in all internal systems, including loyalty points, login credentials, SMS messaging, reminders, etc.
• Coordinate all concierge services and outreach communications for consumer, trade, and media guests
• Understand current e-commerce promotions and assist guests with related orders
• Provide coordination and logistical support to the Trade Ambassador for onsite activations and events
• Support Trade Ambassador and sales directors with administrative tasks as needed
• Assist with special gifts, notes, and logistics for trade partner promotions and shipments
• Manage trade and media itineraries, ensuring each experience is flawlessly curated
• Assist with concierge check-in duties for guest arrivals
• Support guest services and hospitality teams, including working occasional special events
Qualifications

Education and Experience
• Food Safety/RBS Certification required
• Minimum of 3 years’ experience in a luxury restaurant, hotel, or winery setting
• Minimum of 3 years of administrative experience
• Executive Assistant experience or certification is a plus
• Strong communication and phone skills are essential
Skills and Abilities
• Experience in luxury hospitality preferred
• Knowledge of the wine industry and local tourism is a plus
• Ability to communicate clearly and professionally in person and in writing
• Basic math skills
• Strong problem-solving and collaboration skills
• Ability to adapt and remain calm in fast-paced situations
Technical Skills
• Proficient with office equipment and software (Google Workspace, MS Word, Excel)
• Comfortable using multi-line phone systems
• Able to write professional emails and brief communications
• Positive and polished communicator with both internal teams and external guests
Physical Demands
• Must be able to sit or stand for extended periods
• Frequent walking, talking, and listening
• Regular use of hands for grasping, typing, or holding objects
• Ability to occasionally lift and move up to 50 pounds
Work Environment
• Occasional exposure to outdoor weather conditions
• Noise level is generally moderate
