POSITION SUMMARY
The Senior Payroll Analyst is responsible for general payroll activities, performed in a manner that realizes departmental goals to reflect the spirit, style and substance of the Founders. Under the direction of the Director of Human Resources and within and across departments, this position is responsible for maintaining the high level of confidentiality, accuracy, and customer service expected at Opus One. This role will interact with employees throughout Opus One with a heavy emphasis on Human Resources and Accounting.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Develop payroll policies that align with organizational goals and regulatory compliance.
• Analyze payroll data for strategic business insights and make recommendations to leadership for decision-making.
• Process and analyzes bi-weekly payroll for all employees to identify and reconcile payroll discrepancies, including timekeeping, pay statements, accruals, etc.
• Assess and implement HRIS & payroll system updates based on business needs.
• Responsible for reviewing and reconciling gratuity and services charges in collaboration with Guest Relations.
• Determine corrective actions for payroll discrepancies autonomously.
• Manage cross-departmental payroll-related audits with minimal oversight.
• Maintain all payroll-related records (garnishments, tax records, earnings, deductions, loans, car usage, etc.) and maintain communication with the HR Team to ensure compliance.
• Lead initiatives to streamline payroll processes across departments.
• Audit payroll transactions to ensure compliance with federal, state, and local laws, as well as company policies.
• Calculates and issues off-cycle checks as needed, including calculating pay according to hours worked, incorporating leaves of absence, overtime, bonuses, and PTO payouts per California law and booking G/L entries per GAAP.
• Analyze labor costs and payroll trends to support budgeting and forecasting efforts.
• Updates and maintains employee files (direct deposit, tax forms, etc.)
• Reconcile all payroll, tax, benefits, and labor distribution G/L accounts and payroll bank account monthly and be subject matter expert to finance and accounting with inquiries.
• Complete all year-end reporting and processing, including W-2s and ACA forms.
• Remit bi-weekly 401(k), deferred compensation, and flex spending files and maintain records.
• Develop initial long-range operating plan for compensation & benefits in collaboration of HR & Finance teams.
• Subject-matter expert for timekeeping issues and for training new employees and managers on the system.
• Monitor tax filings and manage employee tax records, ensuring compliance with tax laws.
• Review holiday bank and PTO accruals for accuracy and reporting.
• Serves as the key liaison between HR and Accounting for organizational payroll strategy development.
• Generate and update reports needed for government/compliance reporting and management.
• Set up and maintain tax registrations for employees outside California and ensure state tax setup and wage deductions are compliant.
• Collaborate with HR and accounting departments to streamline payroll processes and improve efficiency.
• Point person for international payroll and tax activities for China, Japan and Vietnam.

QUALIFICATIONS
• Minimum ten (10) years of payroll and/or accounting experience.
• Bachelor’s degree in Accounting, Business Administration, related discipline, or equivalent years of work experience.
• Strong understanding of California and Federal payroll law/best practices and general accounting knowledge.
• Solid understanding of the full payroll processing cycle, payroll concepts, end-to-end processing and tax filing.
• Proficiency in payroll software and Excel.
• Experience leading payroll projects or initiatives that improve operational efficiency.
• Excellent organizational, time, and project management skills; self-motivated with the ability to prioritize and quickly assess what needs to get done to meet critical deadlines.
• Keen attention to details and think thoroughly to identify potential risks and anticipate issues.
• Advanced analytical skills to develop payroll insights impacting broader organizational performance.
• Be comfortable working with different personalities and understanding different departmental needs.
• Effective team player; understands hands-on approach to providing HR and Accounting support.
• Confidentiality and Integrity: Protects sensitive employee information and builds trust.
PREFERRED QUALIFICATIONS
• Fluency in other languages, Spanish highly desirable.
• Experience in the wine industry and applicable wage orders/labor laws.
• Knowledge of benefits administration.
• Ability to communicate effectively at all levels of the organization using written, verbal, and presentation skills.
• UKG Ready and Business Central experience preferred.
• Experience with international payroll a plus.
