Job Description:

Harper’s Club is a bespoke wine advisory firm offering the very best wines, spirits, and experiences to our high-net-worth clients. We work closely with each client to recommend wines that fit their preferences and long-term cellar plans. Our team takes care of everything that involves wine and spirits in their lifestyle.
The full-time salaried Operations Manager reports to the Executive Director. This is a sole charge position with no support staff.

Responsibilities:

Outbound Shipments:
Email clients directly to advise them of wine arrivals and shipping recommendations.
Plan and schedule direct one-to-one shipments and consolidated shipments to regional partners for distribution to multiple clients.
Pick and pack outbound shipments accurately and promptly.
Collate invoices from shipping partners and create outbound freight invoices to charge clients in WineHub, our inventory management software
Submit expense reports in Xero accounting software for all charges to corporate credit card, specifically charges from shipping partners.
Collaborate with and extend our network of specialized wine transport and cross-dock partners in key locations, maximizing security in transit and ensuring excellent service at the point of delivery.
Maintain adequate shipping supplies on hand at all times.

Inbound shipments:
Receive deliveries and check bottles against Purchase Orders in WineHub.
Photograph selected bottles and attach to wine passport in WineHub.
Put away bottles and record locations as rotation numbers in WineHub.
Manage the exchange of data loggers with international vendors, sending them out via DHL and retrieving them from wine shipments to download transit temperature and humidity data.
Manage physical inventory in the warehouse, consolidating and transferring bottles when necessary, and take a full physical inventory every quarter.
Ensure the warehouse is clean and safe every day.
Oversee warehouse maintenance and coordinate with tradespeople as required.
Contribute to annual company reports and reports in WineHub.
Comply with all safety, health and environmental rules and regulations.
Additional tasks as assigned by management

Requirements:
Must be able to work in Napa from Monday through Friday, 8:30AM – 5:30PM
Must have experience in wine warehouse management or related wine industry fields, including the operation of a pallet stacker and pallet jack and warehouse management software
Must have a clean background check
Must have and maintain a valid driver’s license for occasional in-person pickups and deliveries
Demonstrated professional communication skills with colleagues and external clients
Excellent organization skills
Wine certifications or qualifications preferred
Ability to be flexible and adapt under pressure to meet changing customer demands, maintaining high attention to detail
Ability to lift weights up to 40 lbs. repetitively for substantial lengths of time throughout the shift, as well as tasks requiring bending, stooping, standing, and twisting
Available to travel off-site and out of state to assist in collection management and organization projects
Work conditions: wine warehouse environment at 56 degrees Fahrenheit at all times
