Located in Rutherford, Napa Valley, Round Pond is a family-owned and managed estate with vineyards, gardens, and orchards. We are currently looking the Events Coordinator to join our Team. This position plays an important role in ensuring that events, from small to large, run smoothly, effectively, and successfully. This role will be providing exceptional hospitality and a memorable experience while supporting events.

ESSENTIAL FUNCTIONS

-Help facilitate, plan and execute all private experiences throughout multiple locations at the Estate including events for non-members, members and internal functions.
-Help coordinate rentals, run of show, and day-of execution including set-up and break down in conjunction with management.
-Confidently lead and educate guests on Round Pond’s philosophy, the Napa Valley, our wine, olive oil and other products.
-Identify prospective buyers in each group and build relationships, inviting purchases and new memberships.
-Assist with carrying out closing duties including data collection, finalizing sales, order fulfillment, closing out contracts and entering inventory transactions.
-Maintain ongoing inventory and organization of supplies and equipment including—wine, stemware, flatware, tables, chairs, AV equipment, etc.
-Assist with keeping events spaces organized, stocked, and fully equipped for events.
-Coordinate and assist with delivery services and vendors on-site.
-Maintain extensive knowledge of wines being served including characteristics and descriptions; menu items, preparation method/time, ingredients, sauces, portion sizes.
-Communicate and work with other staff members to ensure optimum service to all guests; food delivered in a timely and coordinated manner; proper silverware on table prior to food delivery, proper wines with each course, etc.
-Provide the highest-level service to all guests, following Round Pond’s hospitality standards and with an exceptional eye for detail.
-Serve, clear and bus tables using an Open Service style to minimize interruption to guests.
-Follow up on leads, send proposals and contracts to guests and ensure all necessary information is collected according to established timelines.
-Assist team in reaching set revenue goals.

Additional Duties and Responsibilities
•  Host Olive Mill tours and tastings during the slow season and as needed.
•  Host Wine tours and tastings during the slow season and as needed.
•  Assist with Concierge responsibilities during the slow season and/or as needed.

NON-ESSENTIAL DUTIES AND RESPONSIBILITIES
•  Other duties and special projects as assigned.

Qualification / Requirements:
•  College degree preferred.
•  Previous experience in a fine dining, catering or other restaurant setting.
•  Prior experience related to the wine industry a plus.
•  Outstanding customer service skills, poise, and tact in working with the public.
•  Possess a professional appearance and welcoming demeanor.
•  Must be a team player, have a positive attitude and outlook, with willingness to pitch in when necessary.
•  Good listener, personable and attentive to guests, member’s needs.
•  Proven ability to communicate with diverse customer group and staff effectively and appropriately.
•  Communicates clearly, interacts, and works effectively with all levels of staff; receptive to feedback and coaching; voices concerns in a constructive manner.
•  Acts in a manner that reflects the Company culture.
•  Respects the structure and processes in place.
•  Organized and adaptable to changing conditions when needed.
•  Ability to stay calm under pressure.
•  Keen attention to detail and follow up.
•  Ability to effectively self-direct as needed & prioritize work and projects.
•  Must be 21 years of age or older and have their TIPS training along with a food handlers license within 30 days of hire.
•  Valid driver’s license and clean DMV record.

This is an onsite position. Compensation offered will depend upon numerous job-related factors, including but not limited to candidate qualifications, skills, experience, education, location, and alignment with market data. The company reserves the right to modify the range in the future.
