EHS & HR Administrator (Bilingual required)

Job Description:

Our EHS and HR teams are looking for an bilingual (English/Spanish) data lover who wants to dive right in and learn how things tick within a large Regenerative Organic Certified® winery. In the newly created role of EHS and HR Administrator, you will provide administrative and bilingual support to the EHS, Payroll and HR departments. If you have not previously worked in the wine industry, this affords you the chance to interact with all Hopland-based teams including winemaking and winery operations, production/bottling, warehouse/logistics, customer support, vineyards, procurement, finance and administration.

Your varied responsibilities will range from a steady dose of systems administration and maintaining multiple databases, to backing up the Payroll team as needed and routinely providing written and verbal translation to primary Spanish speaking employees. This position reports to the Director of Environmental Health, Safety and Risk Management and works closely with members of the HR and Payroll teams.


Environmental Health, Safety and Risk Management
Systems Administration (60% of time)
•  Administer, maintain and support company use of the Intelex (Environment, Health, Safety, Quality) software system for EHS activities including but not limited to: tracking incidents, work observations, inspections, audits, permits and other modules as needed
•  Administer and maintain training tracking system to support training requirements
•  Administer, maintain and support safety data sheets online system by working with departments and purchasing to ensure validity of content and placement of required information within the organization
o Under limited supervision coordinate annual inventory, postings and reports as required
•  Maintain records in accordance with established practices and state and federal requirements
•  Execute system enhancements, integration plans and document processes for all EHS software applications
•  Provide data entry and report generation

Miscellaneous (20% of time)
•  Participate in, develop and distribute agendas and minutes
•  Coordinate, track and assist with all administrative aspects of CARE recognition program
o Order, distribute and maintain individual and departmental recognition elements, including awards, prizes and years of service certificates
•  Develop written instructions for EHS procedures and policies
•  Develop and load content into the Enplug, digital signage software communication system
•  Provide written and verbal bilingual support for EHS materials/trainings

Payroll and Human Resources
Time and Payroll Processing duties (10% of time)
Time duties:
•  Work with team to approve nonexempt time data according to the biweekly payroll schedule. Enter manual time entries for nonexempt employees if needed
•  Issue time badges for N/E employees.
Payroll duties: Responsible for exempt and nonexempt payroll processes as follows:
•  Primary responsibility for processing nonexempt payroll, process exempt payroll as needed
•  As needed, process off-cycle checks
•  Enter and track payroll data such as garnishments, tax and banking information
•  Process vacation and sick leave requests
•  Receive payroll packets, sort and distribute checks and direct deposit advices
•  File all payroll related documents
•  Prepare wage verifications for outside agencies
•  Ensure compliance with California labor laws as well as other states

HR duties (10% of time)
•  Provide verbal interpretation support; provide written translation as necessary
•  Conduct new hire orientations, support benefits open enrollment and audit-related activities
•  Records management – filing

Must Requirements
•  Associate’s Degree and 2 years related experience in a data-driven role with experience in EHS, payroll and/or HR, a huge plus, or equivalent education/experience combination
•  Bilingual English/Spanish (reading, writing, speaking) an absolute must
•  Database management skills and ability to learn new database systems
•  Strong computer skills in Microsoft 365 Office applications including Word, Excel
•  General knowledge and understanding of state/federal health and safety regulations
•  Valid CA Driver’s License
•  CPR Certification or the ability to be certified after joining the company
•  During busy periods, effort will be made to provide employees with adequate advance notice should overtime become necessary. All overtime work must have the prior authorization of the employee’s supervisor before it is performed.

Physical Requirements Ability to lift/carry up to 50 lbs. on an occasional basis; push/pull up to 30 lbs. on an occasional basis; ability to sit/work at a desk for long periods of time; requires ability to walk/stand; reach outward/ upward, climb, crawl, squat, kneel, bend; requires hand and finger dexterity for keyboarding/working at computer for extended periods. Requires PPE such as hearing protection and safety glasses.

Compensation The hourly range for is $27 - $34 per hour.
