The Accounts Payable Coordinator plays a vital role in ensuring the accuracy and efficiency of Accounts Payable and General Accounting transactions within the organization. Responsible for processing invoices, reconciling accounts, and maintaining vendor relations, the Accounts Payable Coordinator supports the financial operations by adhering to established procedures and deadlines. Reporting to the VP of Finance, this position coordinates all accounts payable transactions. This position ensures accuracy and timeliness are consistently met and is responsible for performing specialized calculations, developing company processes, and creating reports that contribute to the effective operation and success of the company. The Finance department operates as a customer service and support unit for other departments in the company. Other duties as assigned.

ESSENTIAL FUNCTIONS:

•  Codes accounts payable invoices for proper account distribution, checks prices, quantities, and extensions; posts to proper general ledger accounts and prepares documents for approval and payments. Prepares weekly check runs.
•  Coordinates all forms or payments, ACH, e-check, vendor portals, and check writing.
•  Ensures proper approvals are received before entering financial systems.
•  Properly files or scans all accounts payable records.
•  Inputs all manual and e-payments into the financial system.
•  Attends monthly expense review meetings with managers.
•  Coordinates with all departments for proper approvals, purchase orders and receipts.
•  Process employee expense reimbursement per policy and IRS guidelines.
•  Regular and predictable punctuality and attendance.
•  Working knowledge of general ledger accounts and cost centers.
•  Maintains and reports annual 1099 reporting.
•  Develops and maintains regular reports via the company financial system.
•  Assist with month-end closing and year-end closing duties.

JOB REQUIREMENTS/QUALIFICATIONS:

•  Knowledge of AMS financial system.
•  Winery accounting experience preferred.
•  Associate’s or Bachelor's degree in Accounting or Finance or equivalent skills and experience.
•  Two years of general ledger accounting experience.
•  Knowledge of accounting principles, practices and familiarity with financial regulations.
•  Commitment to maintaining confidentiality and integrity in handling financial information.
•  Ability to manage multiple tasks simultaneously.
•  Ability to meet assigned deadlines.
•  Excellent written and verbal communication skills.
•  Strong attention to detail.
•  Ability to communicate effectively and collaborate with team members, managers, and other departments.
•  Team player attitude. Willingness to contribute to team goals, share knowledge, and support colleagues in achieving objectives.
•  Commitment to a positive work environment. Dedication to promoting a supportive, collaborative, and enjoyable workplace atmosphere, contributing to overall team morale and productivity.
•  Working knowledge of Microsoft Office Suite applications including, but not limited to, Word, Excel, Outlook and Teams.
