JOB SUMMARY:
The Event Coordinator is responsible for assisting the Event Manager with all aspects of special winery events; providing world-class service to clients and vendors, while promoting the sale of wine through comprehensive knowledge of the Chappellet brand and portfolio. The event Coordinator may assist other departments when there is crossover in event support required (marketing, facilities, DTC).

ESSENTIAL FUNCTIONS:
Key Success Indicators:
•  Oversee and help to execute all special winery events, including planning, creative development, adhering to budget goals, staffing (working with Tasting Room Manager or Ambassadors as needed), and all related operations.
•  Communicate event details cross-departmentally through the generation of detailed event BEOs.
•  Execute site visits with vendors, private clients, or members. Conduct any associated tours and tastings with best-in-class service and hospitality, focusing on brand building and establishing meaningful professional relationships.
•  Work with the Chappellet family and Marketing Team to assist in executing virtual and offsite events by gathering collateral, gifts, and other necessary materials to be shipped to in-market team members.
•  Collaborate with the Event Manager and client for menu planning and event design to best showcase the Chappellet portfolio of wines and desired aesthetic.
•  Curate necessary materials for events: custom collateral, menus, gifts, etc.
•  Actively communicate with the concierge about event requests and details
•  Distribute updates and changes to the event schedule, packages, etc to the concierge, tasting room, and management teams.
•  Maintain knowledge about the Chappellet wines, winemaking techniques, winery, and family history.
•  Responsible for the complete execution of events from beginning to end. Ex: schedule rental deliveries and/or pick-ups, flower arrangements and décor, full physical installation, and breaking down of events.
•  Maintain knowledge of systems and processes to support overall event operations.
•  Responsible for analyzing historical event data, pictures, and brand standards to achieve a complete Chappellet Winery look and feel, cataloging events as they occur to add to this portfolio.
•  Maintain inventory of on-site event supplies and assist with upkeep of event spaces alongside the Estate Engineer.
Key Initiatives:
•  Help to execute successful onsite club and allocation events throughout the year (pick-up weekends, spring and holiday releases, library, and new Pritchard Hill releases, etc).
•  Help to promote private events packages to local hotels and key partnerships to drive revenue.
•  Maintain preferred vendor list in line with event, family, and brand standards.

QUALIFICATIONS:
•  Excellent written and verbal communication and interpersonal skills, with a customer-centric approach to service.
•  A keen eye for design and aesthetics.
•  Excellent attention to detail and ability to follow through with projects.
•  Flexible attitude and can manage constantly changing priorities with enthusiasm.
•  Strong administrative abilities – time management, organization, calendars, etc.
•  Solid business and financial acumen related to event and hospitality operations. Ability to track and manage a budget.
•  Education: Bachelor’s Degree preferred, CMS or WSET certifications a plus.
•  Strong Computer skills (POS systems, Microsoft Word, PowerPoint, Excel, Adobe AI experience, and Event Management Software is a plus).
•  Available to work varied hours, nights, weekends, and holidays to accommodate event schedule.
•  Ability to lift 50 pounds and stand for extended periods.
•  Must be at least 21 years old.

•  Ability to lift and move 50 pounds repeatedly.
•  Ability to effectively stock wine, set up and break down procedures, equipment, etc., and utilize dolly cart and assist in moving heavy objects.

The ability to always work in a constant state of alertness safely.
