SUMMARY
Under the direction of the General Manager, the Wine Club Coordinator will assist with duties required to support and grow the Eco Terreno wine club through service and gracious customer support. Duties will be based out of the Sonoma Administrative offices and will include regular visits to the San Francisco Tasting Room to interact with guests and other team members. The Wine Club Coordinator should possess a strong desire to create and maintain relationships with every club member and look forward to planning and coordinating both on-site and off-site events as well as regularly engaging in phone and email communication.

ESSENTIAL DUTIES AND RESPONSIBILITIES


Eco Terreno Wine Club Logistics (75% of duties)
•  Plan, coordinate, and implement Eco Terreno’s wine club logistics; including planning, order processing, and fulfillment in WineDirect
•  Proactively communicate with all wine club members supporting high levels of seamless guest service and member retention
•  In conjunction with hospitality director, maintain brand standards and inventory levels for consumer packaging, shipping collateral, and added-value items
•  Maintain wine club wines, collateral, and supply inventory for SF Tasting Room, Sonoma Administrative Offices, and shipping & fulfillment company
•  As required, process Direct-to-Consumer customer orders, providing a high level of customer service, including providing order delivery updates/confirmations
•  Operate as primary point of contact for Wine Club order delivery exceptions, including shipping/fulfillment, and quality control
•  Communicate with SF Tasting Room team members to support club logistics and ensure seamless hospitality across relationships with club members
•  Other wine club duties as assigned


Eco Terreno Wine Club Events (20% of duties)
•  Under the direction of the Hospitality Director and in coordination with Sonoma Administrative Office team members, plan and execute club member events including: member communication, set-up/breakdown, staffing, fulfillment, and other regularly occurring logistical event activities
•  Coordinate with Administrative Office team members to implement event strategies including: supply acquisition and staging, wine inventory ordering and fulfillment processing for all club orders
•  Offsite pouring logistics: organize and collect items required for offsite pours; pour at events representing Eco Terreno as needed
•  Plan and execute off-site pours in the San Francisco Bay Area
•  In conjunction with other sales team members, maintain Eco Terreno website and eCommerce Portal with brand updates and current release wines to support Wine Club sales
•  Other event duties as assigned

Analysis and Reporting (5% of duties)
•  Run weekly and monthly wine club reports for leadership team
•  Assist in production planning for existing and future product development related to the wine club
•  Assist Operations Manager in administrative office activities as required to support wine club sales


JOB REQUIREMENTS
•  Education/Experience: associate degree (required) or bachelor’s degree (preferred)
•  Minimum 5+ years beverage sales experience (wine sales preferred)
•  Minimum 1+ year running wine clubs (required)
•  Proficiency with WineDirect wine sales system (required)
•  Detailed oriented in event planning, communication, and logistics
•  Familiarity with wine, wine and food pairings, wine hospitality, and Direct-to-Consumer sales strategies
•  Foundational knowledge of wine sales reporting and sales forecasting
•  Foundational knowledge of wine marketing, including proficiency with social media strategies, direct marketing, and Customer Relationship Management systems
•  Strong observational skills
•  A healthy dose of humor
•  The ability to work and contribute as a team member
•  Willingness to work and grow in all capacities that a wine company requires
•  Must possess a valid driver’s license and meet the company’s automobile insurance requirements

OTHER PREFERRED JOB QUALIFICATIONS

LANGUAGE SKILLS
•  Fluent in English (Required). Strong oral communication skills (e.g., in-person conversation with guests and phone calls) and written communication skills (e.g., emails and letters to guests). Ability to read and interpret documents such as sales procedure and operational documents and scripts and to write routine report/spreadsheets.
