ADMINISTRATIVE ASSOCIATE

Shafer Vineyards is a family-owned winery in the Stags Leap District of Napa Valley and is accepting resumes for a full-time Administrative Associate position. The position is Monday through Friday with occasional evenings and/or weekends for planned events. Previous winery administrative experience is required.

To be considered for this position a qualified candidate will need to:

Have at least two years previous Winery Administrative experience
Have excellent planning and organizational skills
Have the ability to self-manage and prioritize tasks
Have versatility, flexibility and a willingness to work within constantly changing priorities
Have good wine knowledge and familiarity with the Napa Valley
Demonstrate a commitment to customer satisfaction
Listen to and understand customer feedback
Treat others fairly regardless of personal biases or beliefs
Have the ability to interact with others in a positive manner
Ability to operate a computer, cash register and other office equipment
Have excellent interpersonal skills via telephone, email and in person; friendly, helpful & professional with the ability to speak clearly and concisely

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Domestic and Export order entry including logistics
Complete inventory paperwork for wine write offs
Coordination and shipment of Donations
Weekly Shipped Orders Report
Monthly Inventory by Location Report
Assist Director of Sales with Allocations and Allocation updates
Assist Director of Sales with Depletion and Placement reports
Track Wine Verticals (with Director of Sales)
Produce new files for Distributors as necessary
Distributor and Representative updates (with Director of Sales)

OTHER RESPONSIBILITIES
Answer phones and provide customer service to requests/inquiries and orders
Assist with scheduling tasting reservations
Accurately maintain customer database
Good planning, organization, writing and communication skills
Strong computer skills including intermediate/advanced usage of Microsoft Office, RMS, Navision, VinSuite, ShipCompliant, Copper Peak Logistics
Coordination of wines for shipping and for various events experience
Assist with setup and breakdown for tastings

THIS POSITION REQUIRES:
A college degree (AA and/or BA)
Two or more years’ experience in winery administrative functions
Professional appearance and demeanor
Self-motivated with commitment to excellence & high standards
Ability to perform repetitive motion activities
Ability to sit and stand for long periods of time
Able to lift and carry 50 pounds
