Founded by the Napa Valley Grapegrowers in 2011, the mission of the Napa Valley Farmworker Foundation is to support and promote Napa Valley’s vineyard workers through education and professional development. The Napa Valley Farmworker Foundation is the first of its kind in the United States, providing educational opportunities, advanced training programs, leadership and management classes, English literacy programs, and much more.

The Napa Valley Farmworker Foundation announces the opening of a full time Program & Event Coordinator position. The Program & Event Coordinator will be responsible for the coordination and execution of all Napa Valley Farmworker Foundation events, programs and seminars.

1. Programs, Seminars & Events:
-Work with the Farmworker Education Committee and Program Director on the coordination of annual educational programs including, but not limited to:
Annual Pruning Contest, Train-the-Trainers, English & Math Literacy Programs, Fields of Opportunity, Apprenticeship Program, Día de la Familia, Harvest STOMP, Leadership & Management programs, and others as they arise

Coordination responsibilities include, but are not limited to:
-Create and follow event timelines and checklists
-Manage event registration and check-in
-Coordinate vendor logistics – event rentals, audio visual, set up, and breakdown
-Coordinate caterers and all aspects of food & beverage service
-Secure event venues and oversee all contract agreements
-Create and print attendee folders, handouts, and event materials
-Obtain insurance and permit requirements, when applicable
-Coordinate community organization outreach and logistics
-Coordinate event volunteers and ensure staffing needs are met, when applicable
-Work within approved event budgets, reporting regularly to the Program Director
-Coordinate post-event follow up – thank you packets, vendor communication, invoicing, budget, committee wrap up
-Coordinate Steering Committee meetings and various sub-committee meeting schedules, and prepare meeting minutes
-Coordinate the annual event calendar and annual report, and oversee mailing
-Work with the Farmworker Education Committee and Program Director to develop new programs that further the mission of the Foundation and increase our impact to the farmworker community
-Work with Farmworker Education Committee to evaluate existing programs and determine ways to enhance and elevate annually

2. Harvest STOMP
-Assist with event logistics and execution
-Assist with the development of marketing materials, displays and signs, and the inspirational video for the fund-a-need
-Assist with the management of all STOMP auction lots, including the fund-a-need
-Assist Program Director with donor outreach efforts and donor communications
-Assist with the coordination of the Friday Night welcome event
-Send thank you letters and packets for Farmworker Foundation donors

3. Website Management
-Create website pages for Farmworker Foundation events and seminars
-Manage day-to-day updates of website to ensure information is current and accurate
-Create all online event registration pages

4. Administrative
-Efficiently prepare for and coordinate Farmworker Education Committee meetings
-Prepare meeting minutes for Farmworker Education Committee and sub-committees
-General support to the Program Director

5. Service the goals and objectives of the FWF Strategic Plan

-Ability to communicate effectively in Spanish a plus
-The highest level of professional communication skills
-Proficiency in Microsoft Excel, Word, Power Point, and Outlook
-Ability to operate in a fast-paced and efficient office environment
-An enthusiastic and motivated work ethic, and strong interpersonal skills
-High level of accuracy
-Background in agriculture and/or viticulture and grape growing a plus

These are required to perform the key responsibilities of the job with or without accommodations
-Must be able to lift up to 50 pounds repeatedly
-Must be able to walk, stand, climb, hear, see, balance, reach with hands and arms, stoop, kneel, crouch or crawl on a daily basis
-Must be able to drive a reliable vehicle
-Ability to assist with event set up, breakdown, and coordination

-Must possess a valid state driver's license
-Must have a clean motor vehicle record
-This job requires the use of your personal vehicle, for which you will be reimbursed for business-related driving expenses
-Must be able to sell, work with and around alcoholic beverages
