Operations Manager

Job Description:

We are seeking an individual who will bring ambition and the desire to join a positive, global family-owned wine company. The ideal candidate will manage and oversee all operations for the company in the USA. The position requires a self-motivated, organized, and creative team player with a desire to grow with the company and take on new roles and responsibilities.
Assists and organizes all sales, marketing, general operations functions as directed by Managing Director, and completes operations functions as required by duties listed below:

Sales Administration:
Liaise with Felix Solís Avantis S.A. (FSA Spain)
Order management Felix Solis Avantis USA
Coordinate orders with National Sales Manager
Determine if stock orders or shipment POs are needed
Stock order
Create stock orders
Record on master stock spread sheet
Ensure accurate pricing
Send stock orders to Spain
Monitor production
Shipment PO
Enter purchase order into QuickBooks
Send purchase orders to Spain
Record on master stock spread sheet
Modify purchase order without pricing and send to Gori or other freight carrier used
Monitor production and/or load
Manage DI customers
Set up and approve new customers
Follow protocol to send and retrieve business application from customer
Fill out and send new customer template to Spain
Retain business application or contracts
Follow protocol to obtain financial information
Send credit application approval
Retain approval in customer file online and printed
DI customers orders
Ensure accurate pricing / deals are reflected
Forward orders to Spain, confirm receipt
Track production and load
Liaise with Kirkwood
Verify marketing report and invoices and monitor payment of invoices
Verify commissions reports and invoices and monitor payment of invoices
Label development and management of changes to existing labels
PDC processing, manage label correspondence
TTB approval tracking
Manage DI sample orders; coordinate with sales team and FSA Spain
Send sample request to Spain
Monitor samples shipments from Spain and track on spread sheet
Investigates and resolves customer issues or incidents
Obtain information from clients i.e. descriptions and pictures
Fill out incident forms and provide backup data to FSA Spain
Coordinate with Spain regarding payment of credit memos
Manage overdue DI invoice issues for FSA Spain
Send payment requests to clients

Oversee approvals of new customers
Review business application or contracts
Enter customer information in QuickBooks and ShipCompliant
Confirm credit approval from Spain received for each customer
Liaise with customer regarding compliance i.e. state appointments and label/brand registrations
Enter all compliance information into Ship Compliant
Comunicate compliance information to Compliance cordinator
Order management
Ensure accurate pricing / deals are reflected
Management of orders FOB NJ/CA
Input orders with selected warehouse for pick up, monitor load date, retrieve BOL
Management of orders freight prepaid
Negotiate delivery costs with carriers
Track pickup and delivery
Invoice management
Invoice creation-enters orders picked up or delivered respectively into QuickBooks
Monitors invoices due , coordinates with accounting regarding overdue reminders/collections
Deposits payments
Maintains all documentation pertaining to each customer order
Manage samples
Monitor inventory of sample room
Coordinate with Sales team
Send and monitor sample requests to Spain
Requests COLA waivers as needed
Investigates and resolves customer issues or incidents
Fill out incident forms and provide backup data to FSA Spain where necessary
Coordinate with Accounting regarding payment or credit memo
Product Development
Manages product coding in QuickBooks
Assist with product development
Be responsible for direct communications with customers regarding product development
Product submissions or set up
Suggest and oversee effective marketing campaigns in unison with National Sales Manager
Order and maintain marketing collateral

General Operations:
Manage logistics, inventory, payroll, general office
Logistics management
Communications with the freight forwarder(s) freight pricing, invoicing, communication with HQ regarding PO status
Communication with warehouse(s)
Manage product coding
Report inbound containers
Monitor outbound orders
Inventory management New Jersey and California
Monitor product balances
Maintenance and reconciliation of physical inventories of product
Payroll processing
Daily running of business/office
Order supplies, manage subscriptions
Communications with vendors/suppliers

Skills/Qualifications:
Experience working in the wine industry preferred
Proficiency with Microsoft Office programs, such as Outlook, Word, and Excel a must, Power Point a plus
Communicates efficiently and professionally, with excellent telephone and writing skills
Ability to multitask gracefully and prioritize work with a high level of detail and accuracy
Experience with third party shipping – UPS, FedEx, helpful
Must be 21 years of age
Be able to lift 40 pounds
Bilingual (English & Spanish) A Plus But Not Required.
