We are looking for a customer focused office manager to be the champion for our American Canyon team. This person will touch all aspects of the office managing all front office activities, maintaining the office environment, prepping for client meetings, assisting with employee events, and managing claims for the Client Success team. This role wears many hats supporting multiple teams and will interact with customers both internally and externally. The Office Manager is a key part of our team and will report to the Director of HR.
What you’ll be doing:
Be the face of WineDirect, welcoming guests and employees alike
Assist with general office organization,
Responsible for the facilities and day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
Ensure that conference rooms are prepared for client meetings including booking, setting up signage, coordinating refreshments, and welcoming attendees; set up conference - and video calls as requested
Assist with maintaining multiple calendars
Sort and distribute incoming and outgoing mail, and courier needs
Maintain inventory, order office supplies, and maintain office equipment
Order weekly office snacks and office lunches as necessary, ensure kitchens are stocked throughout the day
Develop, plan, and coordinate employee events
Support the Client Success team by examining, processing, and completing claim filings, documentation and reports
Work closely with UPS and FedEx personnel via telephone and email to resolve claim disputes and submit proper paperwork.
Assist Finance team in clearing checks for client reimbursement
Prepares and maintains reports and records for processing
Performs other duties as required.
Who you are:
Bachelor’s degree or equivalent, Business Administration, Human Resources, or related field is an asset
At least two years of previous experience in office management
Experience in a fast-paced environment.
High level of proficiency with MS Office suite (word, excel, power point)
Strong written and oral communication skills
Professional demeanor and impeccable customer service skills
Great attention to detail
Maintains and exercises a high degree of discretion and confidentiality
