Administrative & Logistics Manager

Lingua Franca is the collaboration of Larry Stone, David Honig, and Dominique Lafon, inspired by our exceptional vineyard site in the Eola-Amity Hills. Production is directed by Winemaker Thomas Savre.

We are searching for an experienced Administrative & Logistics Manager to support our Direct to Consumer, Trade Sales, Production, and Executive departments. The ideal applicant will be a master organizer with experience in winery office administration. Candidates with optimism, flexibility, and a work-hard, play-hard sensibility will thrive with us.
Responsibilities include the following (time allocations are estimates):

DTC Program Support (30%)
•  Manage visitor scheduling and calendar logistics
•  Organize consumer will-call orders and related inventory management
•  Organize, label, pack, and monitor FedEx shipments for consumer orders shipped from the winery
•  Manage weather holds and releases for order fulfillment
•  Manage and restock shipping materials and sales collateral (brochures, tasting sheets, order forms)
•  Conduct monthly total physical inventory at the winery; work with LF accounting team to integrate and reconcile Square reports, invoices, and other data
•  Investigate state-by-state direct shipping regulations, manage compliance and maintain direct shipping licenses
•  Assist with customer communications and relationship management
•  Assist with special event logistics

Trade Sales Support (30%)
•  Coordinate market travel and event logistics for LF’s CEO and Sales & Marketing Manager
•  Coordinate bottled goods transfers between the winery, main warehouse, and distribution points
•  Organize, label, pack, and monitor FedEx shipments for trade samples, media submissions, and special events
•  Work with sales and accounting teams on trade invoicing
•  Investigate and manage compliance with state-by-state trade sale regulations
•  Generate sales and depletion reports for trade relationships
Production Support (20%)
•  Work with LF’s Winemaker, CFO, and accounting team on winery and vineyard budgeting
•  Manage compliance and COLA acquisition/management for LF and its custom crush and AP clients
•  Organize contract management, accounting, and invoicing for custom crush and AP clients
•  Provide logistical support for barrel imports and leasing, and invoicing for barrel sales
•  Manage and restock winery supplies for production and common areas

Executive (CEO/CFO) Support (20%)
•  Work with accounting, production, and sales teams on periodic reporting
•  Assist CFO and accounting team on receivables, payables, and capital lease management
•  Assist CFO with investor relations matters
•  Work with CFO and CEO on insurance policies and endorsements

•  3 to 5 years’ experience in office management, administrative and logistics support (or a related field) required; winery experience highly desired
•  Proficiency in Microsoft Suite programs with a command of Excel required; experience with Adobe and accounting software a plus
•  Proven ability to develop timelines, prioritize projects and meet deadlines
•  Consistent productivity in a dynamic, energetic, and busy office setting

Salary and Schedule:
This is a full-time salaried position with duties largely performed on weekdays with occasional evening or weekend hours. Compensation will be commensurate with experience.
