Human Resources Specialist

Job Description:

Position Summary:

Reporting to the Human Resources Director the HR Specialist performs a wide variety of administrative and generalist support activities in all HR areas, but primarily responsible for all Compensation & Benefits activities for Mumm Napa & Kenwood Vineyards employees.

Key Responsibilities:



•  Maintain and update HRIS system for all employee details and personal files
•  Manage the bi-weekly and semi-monthly payroll process for all employees
•  This includes setting up new employees in HRIS, salary updates / role changes and terminations
•  Ensure all overtime is paid for non-exempt employees in line with California legislation as well as ensure compliance to all wage & hour legislation
•  Ensure that information in KRONOS is kept updated
•  Pre-check of payroll reports and final approvals
•  Distributing pay slips and printing of checks on pay day to all operational employees
•  Severance calculations
•  Manage calculations and timely receipt of final checks for terminating employees with PRUSA
•  Manage any out of cycle pay requirements and issues as they rise
•  Work closely with PR USA payroll team to look at ways to improve and streamline the payroll process and experience


•  Ensure accurate budgeting and forecasting of all payroll costs (wage & related) for PRW USA employees
•  LE Processes as required – updating wage & related budget data
•  Working with the PRW analytics team manage the payroll budget review process ensuring all data is accurate and any risks are identified
•  In conjunction with Pernod Ricard Winemakers assist with expatriate administration from a local level and ensure gross-up schedules for payroll and estimates / budgeting of local expatriates

Salary Review and Bonus Support

•  Local administration of annual salary review process in conjunction with Pernod Ricard Winemakers
•  Local administration of annual corporate bonus plan process, maintain bonus plan documents, administer distribution of bonus plan, administration of bonus calculation process through payout



•  Ensure all employee files and documentation is kept maintaining legal compliance, ensuring timely destruction of documents for efficiency


•  Responsible for partnering with the immigration attorney and employees to process all documents as required for immigration for legally compliant work authorization, in a perpetual and timely manner


•  PRUSA DTC support
•  Harvest seasonal staffing

HRIS / Systems

•  Ensure that all HR systems are accurate and kept up to date. This includes but is not limited to Taleo, KRONOS, UltiPro, Active Directory and Benefits Solver & Workers Compensation Systems

Expatriate Coordination and Administration

•  Manage all relocation logistics in partnership with HRBP


•  Manage annual social reporting for all PRW USA employees
•  Payroll reporting, headcount, starters, terminations reports for stakeholders
•  Employee anniversary and birthday reporting as required
•  Quarterly reporting for PRW regionally
•  Manage California or Federal compliance reporting, such as EEO
•  Manage the HR reporting requirements for PRW and ensure these are accurate and timely
•  Contribute to various internal and external reports as required
•  All other ad hoc reporting

Frontline Support

•  Provide a help desk service to employees and HR Business Partner questions with regard to HRIS, health benefits, 401k, workers compensation and payroll

HR Project Work

•  Support and manage various HR projects as required

Skills / Qualifications / Experience:


•  2-5 years of general HR coursework or equivalent experience and a general understanding of HR and Business Operations
•  Ability to work autonomously, displaying initiative with an environment of accountability and responsibility
•  Knowledge & understanding of California employment law
•  Ability to prioritize workload and communicate effectively
•  Very strong system skills including data entry, analytics and reporting
Proficient in Microsoft Office applications
Advanced proficiency in Excel, including finance acumen
•  Strong interpersonal skills
•  Performs work in a systematic and accurate manner
•  Ability to engage, connect and influence
•  Working knowledge of contemporary HR practices
•  Proactive, energetic, enjoys coming to work

•  Undergraduate degree or in process of achieving
•  Previously worked in an operational environment
•  Spanish language skills
•  Previous payroll experience
