Accounts Payable Specialist

Job Description:

The Accounts Payable Specialist is responsible for processing Accounts Payables for Frank Family Vineyards as well as other companies under the same ownership. Frank Family Vineyards is a family owned winery that sells to the public directly and through distribution. We are nestled in a picturesque area of southern Calistoga, about 30-40 min drive from downtown Napa and Santa Rosa/Rohnert Park.

Core Responsibilities:

Process all purchase orders, receipts and invoices.
Code invoices for proper distribution, enter inappropriate accounting system and present to Accounting Manage for posting on a daily basis.
Process payments by computer or manual check and electronics funds transfer.
Present payments along with complete backup to the Controller for signature.
Prepare payments for mailing and/or distribution.
Research vendor statements and inquiries regarding invoices and payments.
Maintain 1099 records and process annually.
Maintain files related to Accounts Payable.
Maintain vendor card database in Navision to ensure that all new and existing vendors are set up correctly for distribution to the general ledger.
Additional Tasks:

Download transactions from the bank and reconcile cash on a daily basis.
Back up Receptionist on phones
Other duties as assigned
Qualification Requirements: To perform this job successfully, and individual must be able to perform each essential duty satisfactorily. Education and/or Experience: Coursework with a focus on accounting/bookkeeping; or three years related experience; or equivalent combination of education and experience.

Language Skills: Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to communicate effectively with vendors and employees of the organization.

Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages. Ability to apply concepts of basic algebra and geometry. A working knowledge of Excel spreadsheets and function commands.

Reasoning Ability: Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

Other Skills and Abilities: Proficient in computerized accounting systems, Navision preferred, as well as Microsoft Windows, Word, Excel and Outlook. Operate general business machines such as a computer, calculator, fax machine and scanner. Attention to detail.
