Position Summary:
The receptionist is the face and voice of Folio Fine Wine Partners, providing support for our front desk and answering our main phone line. This person reports to and provides support to the Mondavi Family Executive Assistant and directly supports Dina and Isabel Mondavi; improves the overall efficiency, productivity, customer service response and successful accomplishment of their own and the company’s business goals; backs up the other administrative and executive assistants as needed. This is a full-time position working Monday through Friday, 8 am to 5 pm.

Critical Tasks:
Supporting Dina, Isabel and the Family Executive Assistant (50%)
•  Coordinating travel for Dina and Isabel Mondavi
•  Keeping Dina and Isabel informed of relative other Family travel
•  Scheduling meetings and managing communications for Michael and Isabel for the Isabel and Michael Mondavi Foundation
•  Researching travel locations, transportation options
•  Provide support to the Family EA, as needed

Office Supplies and Office Management (30%)
•  Kitchen: Cleaning and stocking daily
•  Copy Room and Shipping Supply Room: Ensuring organized and well stocked copy and supply rooms
•  Coordinate building and equipment repairs and maintenance
•  Maintain HQ Large Conference room

Receptionist (10%)
•  Answering phones, screening calls, answering questions
•  Greeting guests and outside vendors
•  Managing/scheduling/cleaning conference rooms

Assisting Admin team when needed. (10%)
•  Provide backup support to the Admin team as needed
•  Coordinate regular meetings for the Admin team

Professional Requirements:
Requires 3 + years of administrative experience in an office environment. Excellent computer skills (Word / Excel / PowerPoint / Access / Outlook), strong multi-tasking and organizational skills. Must possess the ability to work independently, completing projects on time. Outstanding verbal and written communication skills, and ability to handle extremely confidential and sensitive personal and company information. Must be proactive and take initiative. Exceptional attention to detail and providing the highest level of customer service. Must be able to sit for extended periods of time in 2 hour intervals. Must be able to lift and carry 41 pounds, and be able to drive personal vehicle to other locations during business hours.
