Logistics & Estate Relations Associate
We are a small family-owned estate winery on Howell Mountain crafting Cabernet Sauvignon and Sauvignon Blanc grown using organic and biodynamic practices. The Estate is seeking a proficient and enthusiastic Logistics and Estate Relations Associate.
The Logistics– Hospitality associate will have responsibilities spanning from DTC wine allocations to Estate maintenance, hospitality, executive administration, and marketing coordination. This dynamic role’s cross-departmental responsibilities make it crucial to the success of our family owned, small, luxury, sustainability, and quality-minded brand. This is a full-time position, with a regular schedule of Tuesday-Saturday.
Logistic duty:
- Responsible for the comprehensive management of direct-to-consumer (DTC) wine allocations
- In collaboration with the General Manager, set timeline for yearly allocations.
- Develop, create, execute, and manage each allocation and email campaign from set up, opening day, closing day as well as re capture campaign post allocation.
- Aim to achieve allocation sales goals.
- Oversee and assign New Member Phone calls & phone campaigns
- Manage shipments of allocation wines as well as any other national and international shipment needed.
- Coordinate travel schedules and arrangements for off-site events, wine shipments, logistics
- Oversee printing of all marketing materials and collateral.
- Communicate directly with members ensuring shipment needs are fulfilled and resolve customer service issues.
- Manage Wholesale wine inventory, merchandise, and supply items.
- Execute various administrative tasks, including, database management reservations scheduling, timeline creation, preparation of event materials, and mailers, among others.
- Ensure states compliance requirements are met and maintained with fulfillment partners.
- Oversee inventory and product management in Ship Compliant
- Handle internal and external correspondence on behalf of the winery.
- Manage Estate maintenance schedules, and vendors.
- Oversee seasonal winery decor
- Marketing coordination: compiling mailings and collateral
- Oversee various winery errands
Hospitality Duty:
- Host guests and/or assisting the Hospitality Manager when needed. (Saturdays will be a full-hospitality day)
- Assist Hospitality Manager with curated seasonal partner gifts
- Manage and execute top member gifts
- Customer service, logistics coordination, and database management
- Promote brand awareness through on-site and off-site events nationally.
- Organize and coordinate winery events, overseeing logistics and execution of the event.
- Create and execute exclusive experiences for each guest, demonstrate confidence and knowledge in discussing wines, varietals, winemaking/viticulture practices, growing areas, winery history, and current offerings to both new and existing members.
- Promote wine and non-wine product sales in the tasting room, as well as drive interest in new memberships.
Successful candidates will be:
- Proficient in managing databases such as POS, Offset Ship Compliant, and NetSuite.
- Proficient in the Microsoft Office Suite
- Polished and detail-oriented in their verbal and written communications.
