JOB SUMMARY:
The Reservationist is a hands-on, dynamic role that will have multiple responsibilities to assist Bricoleur Vineyards and its Hospitality staff. The position will be client facing (in-person, via phone and email) and will require excellent verbal and written communication and follow-up skills. The position requires a passion for putting the customer first, possessing a positive can-do attitude, and enjoy working in a fast-paced start-up-like culture. An entrepreneurial nature is ideal. You will be responsible for or assist with the following tasks and duties, as well as others as needed:
ESSENTIAL TASKS:
• Answering the main winery phone line and assisting callers with inquiries, reservations or administrative needs. Promptly responding to any voicemails within 24 hours.
• Monitoring and responding to emails in the main info@bricoleurvineyards.com inbox, assisting with any needs. Assisting with Klaviyo.
• Continuously evaluating all issues of capacity, layout and reservation availability to determine ideal visitation volume. Appropriately controlling walk-ins for same day reservations. Keeping an eye on all reservations for the week, looking at certain times that may need to be blocked.
• Managing all collaterals for the Tasting Room. This encompasses printing customized menus for guest experiences daily. Making sure enough wine lists/ experience mats/ picnic menus are printed. Par levels kept with pens, folders, and inserts.
- Assist with wine club coordination and member communication. This includes actively updating simple requests such as billing info, credit cards, new mailing addresses etc. This also includes sending updated tracking information on member shipments when requested.
- Maintain accurate guest profiles and CRM data for marketing and guest experience teams. This includes updating tock preferences, club member discounts, etc.
-Correctly Tagging reservations correctly. I.e. Referrals, walk-ins, VIPs, etc.
- Additional administrative tasks as needed.
-Set up Host Stand and assist setting up Tasting room for service
-Maintain host stand through out the day. Keep par level of open greeter wines, ice filled, ipad charged, etc
-Welcome guests with a smile and proper hospitality greeting for all guests. Check in guests for appropriate experiences and knowledge of all tastings for walk-ins.
