Job Description:

We are seeking a versatile Carlton Estate Host/Concierge to join our Carlton Tasting Room Team. The Carlton Estate Host is often the first point of contact for guests visiting Résonance and plays a key role in delivering our signature hospitality. This position supports the Direct-to-Consumer sales team by managing reservations, communicating with guests before their visit, and assisting with the planning and execution of all curated tasting experiences.

As the welcoming face of Résonance, the Carlton Estate Host sets the tone for each visit, ensuring every guest feels recognized, cared for, and connected to our wines, vineyards, and the story of Résonance. This role requires a high level of professionalism, organization, and warmth, along with a genuine passion for wine and hospitality.

The ideal candidate is service-driven, highly organized, and thrives in a collaborative environment. They must be comfortable managing multiple priorities, communicating clearly with both guests and internal teams, and supporting thoughtful, memorable experiences that reflect the spirit of Résonance.

Key Responsibilities

Guest Experience & Hospitality
•  Serve as the primary concierge for Résonance tasting room reservations and guest inquiries.
•  Greet guests upon arrival and ensure a warm, seamless welcome to the estate.
•  Seating guests, sharing the story of Résonance, our vineyards, and our wines with authenticity and enthusiasm. Seamlessly transitioning the guests to their sales associate.
•  Support curated tasting experiences, assisting the hospitality team with setting up, attending to surprise and delight details to enhance guest experience.
•  Proactively communicate with guests ahead of their visit to confirm reservations and gather relevant preferences or information.
•  Capture detailed guest notes and preferences in the CRM to support long-term relationship building.
•  Accommodate walk-in visitors and identify the best fit for experience, given daily reservations and availability, to introduce them to Résonance wines.

Reservations & Guest Communications
•  Manage reservation scheduling through the winery’s booking platform (C7).
•  Respond promptly and professionally to guest inquiries via phone, email, and online reservations.
•  Provide information regarding winery experiences, hours, directions, and current wine offerings.
•  Coordinate guest flow and host assignments with the hospitality team to ensure a seamless guest experience.

Sales & CRM
•  Encourage on-site wine purchases and wine club sign-ups.
•  Maintain accurate guest records and interaction notes in the CRM.
•  Assist with wine order preparation and guest order fulfillment when needed.

Tasting Room Operations
•  Assist with setup and breakdown of tasting experiences and hospitality spaces.
•  Maintain cleanliness and organization of guest-facing areas, including reception desk, tasting room spaces, and outdoor hospitality areas.
•  Restock wine and hospitality materials as needed.
•  Assist with printing or preparing guest collateral.

Team Collaboration & Referral Partnerships
•  Work closely with the hospitality and sales teams to share guest information and ensure exceptional service.
•  Support the development of relationships with local hotels, concierges, and regional hospitality partners.
•  Provide recommendations to guests for local wineries, restaurants, and lodging throughout the Willamette Valley.

Events & Special Projects
•  Support the execution of winery events, club gatherings, and trade visits as needed.
•  Assist with setup, guest hospitality, and breakdown for winery events.
•  Participate in staff trainings, educational tastings, and sales team meetings.

Qualifications
•  Passion for wine, hospitality, and creating memorable guest experiences
•  Strong organizational and communication skills
•  Ability to multitask and prioritize in a fast-paced hospitality environment
•  Comfort using reservation platforms, POS systems, and CRM databases
•  Collaborative, team-oriented mindset
•  Prior hospitality or wine industry experience preferred
•  Ability to work weekends and occasional evenings

Reports To: Carlton Tasting Room & Events Manager, Corey Friesen
Compensation: Competitive hourly $19, commensurate with experience; Accrued PTO (after 90 days), plus tips, wine education, and employee wine benefits.
Schedule: Part-Time, seasonal position. Typical schedule: May – November; Thursday – Sunday, 10-6 pm, December - April; Friday - Sunday, subject to change to meet business needs
