Job Description:

Wine Club Hospitality Coordinator reporting to the General Manager, managing both Roblar Winery & Refugio Ranch wine clubs.

As Wine Club Hospitality Coordinator, your primary minimum responsibilities include:

Wine Club Coordination
- Responsible for the overall success and profitability of all Gleason Family Vineyards wine clubs
- Conducting daily operations and customer service for all incoming matters for Roblar, Refugio Ranch, and GFV wine clubs, including but not excluded to: responding to incoming customer inquiries via email and telephone; proactively communicating with wine club members about shipments and other club related activities; managing billing and shipping information; troubleshooting any club-related issues; and assisting with custom club and retail orders
- Accurately maintaining and managing customer accounts
- Coordinating with Sales Representatives and Tasting Room staff regarding order details, account upkeep, and member events
- Leading the planning of all wine club events and creating and maintaining budgets for said events
- Processing tele-sales orders and credit card decline follow-ups
- Assisting with marketing materials and schedule of events for all wine clubs
- Performing the setup and processing of all wine club runs
- Creating and maintaining budgets and profit reports for each year’s wine club runs
- Confirmation of new wine club sign-ups with tasting room
- Initiatives to drive club growth, increase retention, and improve overall efficiency and profitability of wine clubs
- Assist with shipping logistics via phone and email for Wine Club & Tasting Room orders with third party shippers (reships, redirects, returns, re-issuing damaged orders)
- Perform all other duties as assigned and/or requested by management in a professional and efficient manner


Tasting Room & Wine Club Events Hospitality
Be present in the tasting room on designated days to conduct the following:
- Act as an in-person concierge to our wine club members during their visits to the tasting room: greet them once they’re seated, ask them how they’re enjoying the club and if there are any administrative items you can attend to for them, put together shipments and wine orders, look for opportunities to upsell them, remind them of upcoming events, ensure they’re aware of all their benefits and the various outlets of GFV like private events, farm-stays, etc. Truly be a “face” of the brand for our in-person visitors.
- Assist with tasting room inquiries via phone and email: reservations for large parties, general questions, etc.
- Host members for tastings on club pickup weekends
- Attend all wine club events again as a “face” of the brands for our members, and assist with the production of each event
- Required to work 1-2 weekend days every week
- Brand ambassador for off site tastings for club members or at industry events.

Inventory Management
- Run weekly inventory reports
- Process all in and out transactions
- Handle all shipping returns and issues
- Monthly inventory reconciliations
- Maintain pricing table for all SKUs and sales channels
- Set up all new products into sales platforms and inventory management software
- Work with winemaking team on final bottling reports and inventory management
