POSITION SUMMARY
This position was created as a part-time position to support the existing Sales Operations Manager. This role has grown beyond the scope of one staff. The ideal candidate will grow within the role and could develop into a full-time Sales Operation Manager in time. Assisting the Sales Operations Manager on support functions essential to sales force productivity. These include, and are not limited to, planning, reporting, distributor document processing. Proactively monitors and strives to maintain high levels of quality, accuracy, and process consistency in the sales organization. Proactively identifies opportunities for sales process improvement. Works cross-functionally with Marketing. As an employee with responsibilities involving financial matters, this position requires the employee to work with the utmost confidentiality.
Sales Operations support
•  Conduct analysis that will be used for Distributor reviews and account presentations.
•  Assist in coordinating and executing events, including set-up and wine pouring, assist in organizing VIP trade visits, incentive trips, and education trips.
•  Research competitive set retail pricing and trade pricing analysis.
•  Assist in coordinating export orders, labeling.
•  Assist with library wine coordination from warehouse in American Canyon.
•  Respond to ad hoc information requests as needed.
•  Assist in coordinating and executing the annual National Sales Meeting.
Distributor Billbacks
•  Manage Distributor billbacks. Receive, review and process depletion allowance claims.
•  Manage Access database tracking system. Review monthly statements and track invoice issues.
•  Ensure amounts requested comply with agreed price grids. Bring discrepancies to the attention of the Sales Operations Manager.
•  Coordinate monthly reports.
•  Provide reporting/tracking/analysis that will help the sales team improve the effectiveness of DA spends/ Incentive Programs.
POS management
•  Ensure the Wholesale sales team have the sales tools they need to be effective in the market.
•  Generate, manage, and fulfill point of sale (POS) materials.
•  Maintain inventory of POS items.
•  Maintain wine samples inventory, process wine samples requests.
•  Maintain inventory of wine shipping packaging materials.
•  Assist as needed in coordinating marketing campaigns to use for wholesale/trade.
•  Coordinate with marketing the production and delivery timeline of print and program materials.



Leadership & Ownership support
•  Act as a resource for the Groth ownership/leadership team.
•  Review with Sales Operations Manager the CSO and President’s calendar and coordination needed items.
VIP/iDig
•  Work with our sales reporting platform (VIP) to identify inventory validation errors.
•  Assist with iDig reporting; provide support to the team.
General Office support
•  Stock supply room.
•  Manage and coordinate office equipment needs.
•  Stock, coordinate printing for business stationery.
•  Stock shipping supplies.

REQUIRED COMPETENCIES (Knowledge, Skills, Abilities)

•  Minimum 2 years related experience (admin, project management, operations support).
•  Proficient within Microsoft Office Suite. Strong Excel skills required.
•  Experience in Microsoft Access database management a plus.
•  Experience in VIP/iDig a plus.
•  Demonstrated ability to successfully manage projects through complete life cycle.
•  Strong verbal and written communication skills.
•  Excellent organizational skills, follow up, and attention to detail.
•  Ability to overcome obstacles and deliver, regardless of the obstacles.
•  Must have a valid CA driver’s license.
•  Work with the utmost confidentiality regarding employee and company finances.

ESSENTIAL PHYSICAL REQUIREMENTS
The physical requirements listed are representative of those that must be met by an employee to successfully perform the essential functions and key responsibilities of this position.
The ability to always work in a constant state of alertness and in a safe manner. Frequent operation of computer and other office equipment, the ability to sit at a workstation for long periods of time, stand, walk, climb stairs, bend, lift, twist, pull, push, carry, grasp, reach and stoop as need, and to regularly lift and carry items up to 40 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
WORK ENVIRONMENT
The noise level in the work environment is usually quiet to moderate. The employee works in an office environment. Work may require occasional weekend and/or evening work. Occasional travel may be required.
