Job Description:

The Part Time Customer Service Coordinator will support the Customer Service team with regular duties. Our ideal candidate must be a master multitasker with strong communication skills, be detail-oriented, and able to work in a fast paced, small office environment. We are looking for a highly organized and extremely flexible person to fill this role. Someone who enjoys the administrative challenges of working in a small yet diverse office environment. The Customer Service Coordinator thrives on administrative management and brings a friendly and enthusiastic attitude to the position. This will be a part-time position reporting to the Director of Customer Service, with the possibility of increased hours based on skills and experience. Responsibilities of the Customer Service Coordinator include, but are not limited to, the following:

OFFICE ADMINISTRATION
Sales/Direct to Consumer:
•  Enter and update allocation list signup data into Kistler Vineyards’ database
•  Distribute allocation list signup reports (monthly)
•  Work with DTC customers and related partners to resolve issues including delivery issues, shipping returns and credit card declines
•  Work with shipping partners to resolve questions or issues
•  Help to create, maintain and update DTC Release documents, information and reports
•  Maintain electronic wine labels and wine related documents
•  Help to coordinate export analyses of wines
•  Update historical wine and release related documents as new wines are released
•  Process wholesale orders, both domestic and international, including necessary regulatory documents
•  Update international DTC orders for shipping & customs fees
•  Enter and update wine and release data into KV’s database for both DTC and wholesale
•  Obtain images for bottle shots and create and organize them for access by all employees
•  Answer and respond to customer calls and emails
•  Assist with all aspects of DTC and hospitality center orders – from entry, to shipping to compliance issue resolution
•  Update & distribute monthly wholesale reports
•  Assist Directors of Sales with reports and related distributor submissions
•  Assist with sample requests and shipments

In addition to these primary duties, Kistler Vineyards asks all its employees to be cross-trained and capable of many tasks. Training and experience will be provided as time and opportunity allow you to grow, learn, and develop new skills within these parameters.

QUALIFICATIONS:
•  Minimum 3+ years administrative experience
•  Experience in wine industry a plus
•  Proficiency with Outlook and Microsoft Office, including Excel a MUST
•  Excellent written and verbal communication skills
•  Exceptional phone skills
•  Solution focused – able to resolve problems easily and quickly
•  A highly approachable, gregarious, warm, and friendly personality
•  Proactive and resourceful
•  Ability to maintain confidentiality with a high level of discretion and grace
•  Strong organizational and time-management skills
•  Meticulous attention to detail
•  Ability to multi-task and make quick and effective decisions while remaining flexible
•  Ability to accurately follow instructions
•  Ability to sit for prolonged periods of time
•  Ability to lift 50 lbs.
