Hospitality Scheduler & Guest Experience Host
Backstage Winery | Napa Valley, CA | Full-Time (Seasonal Structure)
Backstage Winery is a small, family-owned Napa Valley winery focused on premium, small-lot wines and elevated guest experiences. We are seeking a highly organized, tech-savvy individual to support our tasting room operations as both a scheduler and weekend host.
This role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and has a strong attention to detail. Wine experience is not required, but hospitality and organizational skills are essential.
Position Overview
-This is a hybrid operations and hospitality role:
Friday through Sunday, this role is front-facing as a host, managing guest flow and ensuring all reservations run smoothly. Two additional weekdays are focused on behind-the-scenes scheduling, coordination, and system management.
This position plays a critical role in ensuring seamless daily operations and exceptional guest experiences.
Key Responsibilities
Weekend responsibilities (Friday through Sunday) include greeting guests, acting as the first point of contact for all arrivals, and managing the daily reservation flow across tastings and tours. This role works closely with hosts and wine educators to ensure proper staffing and coverage, while troubleshooting scheduling conflicts in real time. Maintaining a polished, welcoming, and professional guest experience is essential.
Weekday responsibilities (two days per week) include managing and organizing reservations in Tock and internal systems, assigning hosts and guides to bookings based on staffing and group size, and blocking off time slots based on staffing limitations or private events. This role will coordinate with tour companies and partners to confirm bookings, ensure all reservations are accurate and properly noted, and maintain clear internal communication with the team regarding upcoming schedules.
Qualifications
-Candidates should be highly organized with strong attention to detail and comfortable working with technology and scheduling platforms.
-Experience with systems such as Tock is a plus but not required.
-Strong communication and problem-solving skills are essential, along with the ability to multitask and remain calm under pressure.
-Prior hospitality experience, such as a restaurant host or front desk role, is preferred.
-A polished, professional, and guest-focused demeanor is important.
-Availability to work Friday through Sunday consistently is required.
Compensation & Schedule
-Compensation ranges from $20 to $25 per hour, depending on experience.
- During the busy season from April through October, this role is five days per week. In the off season from November through March, the schedule shifts to three to four days per week.
This is an in-person role based at our Napa Valley winery.
