Position Summary

Abbott Claim is seeking a full-time Estate Concierge & Logistics Coordinator to support the operations of our luxury estate winery in Oregon’s Willamette Valley. This role is ideal for a hospitality professional who thrives in a dynamic, guest-centered environment where precision, discretion, and intentionality are paramount.

You’ll serve as the connective thread between back-of-house logistics and front-of-house hospitality—overseeing wine shipments, club processing, and operational details that define the Abbott Claim standard—while also stepping in to personally host new guests and members when called upon.

Key Responsibilities

Concierge & Guest Services
•  Provide concierge-level support, including curating itineraries, booking dining reservations, and arranging private tastings
•  Communicate with members and guests by phone and email with professionalism and warmth
•  Support reservation management and CRM updates
Logistics & Fulfillment
•  Manage outgoing wine orders and coordinate shipping logistics with accuracy and care
•  Execute club allocations, membership processing, and system updates
•  Monitor inventory management related to shipping and member orders
Front-of-House Hospitality
•  Assist with tasting experiences when needed, including food preparation and service support
•  Participate in the planning, booking, and execution of member and private events
Communication & Outreach
•  Support mailing list communications and membership outreach campaigns
•  Coordinate with industry partners to strengthen relationships and brand presence
•  Answer phones and respond to general inquiries promptly and professionally
Experience-Driven Innovation
•  Use personal insight and guest interactions to refine and elevate the Abbott Claim experience
•  Collaborate with the Hospitality Manager and Director of DTC to identify opportunities for improvement across all guest touchpoints
Other duties as assigned to support the success of the team and guest experience.

You Are:
•  Highly organized with exceptional attention to detail
•  Able to move seamlessly between shipping logistics and luxury hospitality
•  A natural communicator—gracious, confident, and social, with a love for learning about guests and sharing stories
•  Comfortable working independently and collaboratively in a fast-paced environment
•  Experienced in hospitality, luxury wine, concierge, or fulfillment roles
•  Passionate about food, wine, people, and creating memorable experiences

Compensation
•  Full-time hourly position (guaranteed average of 30 hours per week)
•  Phone allowance
•  Commission opportunities through inbound sales campaigns
•  Membership sign-up bonus
•  Additional commissions when participating in tasting room service
•  Tips available when participating in tasting room or event service (pooled)

•  Must be available Wed-Sun, with occasional evenings or off-schedule days for events
