POSITION SUMMARY
The Staff Accountant position provides overall daily administrative tasks to support the Accounting Department including a variety of routine daily, weekly, monthly and yearly bookkeeping and administrative tasks.
ESSENTIAL FUNCTIONS

•  Enter all AP invoices that have been received and approved for payment
•  Codes invoices, sets up new accounts, reconciles accounts, and closes the monthly books.
•  Scan all A/P documents to attach in accounting software
•  File all paper documents related to accounting activities
•  Completes payment of invoices associated with accounts payable and ensures payments are charged to the appropriate accounts.
•  Print A/P checks and attach documentation for CFO’s review and signature
•  Create and send ACH payments through bank portal and record in accounting software
•  Process and pay Salesperson expenses through Concur and record in accounting software
•  Review timeclock summary for accuracy and notify payroll processing company it is ready
•  Print and distribute P/R checks and direct deposit stubs
•  Verify and enter 401(k) deferrals, matching, and loan payments into Principal portal
•  Enter Payroll and 401(k) journal entries in accounting software
•  Review PTO requests of salaried employees for accuracy and notify payroll processing company it is ready
•  Make Health Savings Account deposits
•  Prepare and enter Journal Entry for HSA deposits
•  Assists in general cost accounting and other related duties for the organization.
•  Assist with year end 401(k) testing on Principal portal
•  Box up old files and create new ones
•  Work with Compliance Consulting for out of state compliance
•  Monitor office supplies and replenish when necessary
•  Enter wholesale orders in accounting software and transmit to warehouse
•  Invoice all shipped orders
•  Enter invoice spreadsheet into ShipCompliant
•  Compile sales information and send reports to sales team
•  Create database for allocations
•  Assists in the preparation of monthly balance sheets, income statements, and profit and loss statements.
•  Maintains the general ledger.
•  Reconciles payroll, customer accounts, and other financial accounts
•  Provides outside auditors with assistance; gathers necessary account information and documents to perform annual audit.
•  Files tax forms with federal, state, and local government agencies.
•  Process daily USPS mail
•  Respond to voicemails and emails promptly
•  Coordinates with software vendor to maintain accounting software systems; recommends updates to enhance the accounting software.
•  Maintains knowledge of acceptable accounting practices and procedures.
•  Performs other duties as assigned

SUPERVISORY RESPONSIBILITIES: This position has no direct reports.

•  Proficient use of data software applications to record, store, and report payroll, accounting and inventory data.
•  Basic knowledge of bookkeeping, payroll processing, and clerical procedures.
•  Methods of auditing for accurate recording of timecards and payroll processing.

•  Ability to work overtime. Must be pre-approved based on the needs of the company

MINIMUM QUALIFICATIONS
•  Experience: Minimum of three years related experience or equivalent
•  Education: High School Diploma or equivalent; additional course work in accounting, payroll, finance or other related coursework to assist in the duties reflected above.
ESSENTIAL PHYSICAL REQUIREMENTS
This position works in a controlled office environment on the third floor with no access to an elevator. The physical requirements listed are representative of those that must be met by an employee to successfully perform the essential functions and key responsibilities of this position.
The ability to work in a constant state of alertness and in a safe manner at all times. Frequent operation of computer, phone and other office equipment, the ability to work at a workstation for long periods of time, stand, walk, climb stairs, bend, lift, twist, pull, push, carry, grasp, reach and stoop as need, and to occasionally lift and carry items up to 25 pounds. Specific vision abilities required by the job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The office is located on the third floor and requires the employee to climb 2 flights of stairs regularly throughout the day.
