Office Manager

Work Location: Amity, Oregon
Full-time position

The Office Manager reports to the Owner/Director of Operations and works in close cooperation with Vineyard Managers and supervisors.

Office Manager Job Purpose: Supports company operations by maintaining office operations and performing all accounting functions as well as other duties as required.

JOB DESCRIPTION

1. Accounting, Reporting & Administrative
•  Provide oversight for all accounting in QuickBooks for all entities including AR, AP, Payroll, General Ledger and all other required entries
•  Prepare detailed invoices for vineyard clients
•  Assist with preparing leases, fruit sales and other contracts
•  Support Vineyard Manager in communication with clients, wineries and vendors
•  Perform everyday errands for operations such as bank deposits, obtaining mail as well as picking up supplies and making deliveries as required

2. Planning and office operations
•  Conduct daily office operations on timely schedule
•  Implement new office systems as needed
•  Prepare annual operating budgets for company
•  Maintain professional and technical knowledge
•  Support Vineyard Managers with cost control for individual client vineyards
•  Assist Vineyard Managers with harvest planning
•  Support Vineyard Managers with the procurement of supplies and services
•  Fulfill other duties as needed/assigned by management with the understanding of business necessity

3. Vineyard Management - Technical
•  Assist with day/night harvest scheduling, logistics and tracking of harvest weights
•  Assist with time tracking and vineyard software
•  Prepare documents for compliance with various organizations

4. Human Resources, Employee Health & Safety
•  Manage employee benefits
•  Assist Team with recruiting, selecting, orienting, and training employees
•  Assist Team with coaching, counseling, and disciplining employees
•  Provide human resources support
•  Assist with scheduling and recordkeeping of safety meetings and programs
•  Provide oversight for all compliance requirements


QUALIFICATIONS & REQUIREMENTS
3+ years Administrative Management experience
Efficient and detail oriented, solid organizational and administrative skills
Understanding of all office operations and procedures
Demonstrated ability to effectively identify and resolve problems.
Excellent Excel skills, very strong computer skills, including Microsoft Office Suite
Full knowledge of QuickBooks and all of its operations
Excellent written, oral communication and time management skills
Available for irregular work hours during harvest and as required during the growing season
Ability to work with a limited amount of supervision
Ability to lift and carry up to 50 pounds
Must have a valid driver’s license and provide own vehicle and cell phone
Strong ethics
Passionate and committed to work performance

Preferred qualifications:
Fluent in English and Spanish
Bachelor's degree in Ag-Business or related fields or commensurate experience
Experience with IT, time tracking and database management software

Compensation:
This is a full-time position; compensation is DOE
