Compliance, Accounting and Billing Specialist

Job Summary:

This position will work closely with the winemaking, operations, bottling and the sales departments to meet the goals of Castoro Cellars, Castoro Bottling Company, and Bethel Rd Distillery. This position has day-to-day responsibilities for completing and filing all compliance and regulatory requirements, costing, accounting, financial reporting, and billing for bulk wine, grapes, and processing services. Attention to detail, organizational excellence, and the ability to work within tight deadlines to drive continuous improvement to the organization are essential skills needed to succeed in this position.

Essential Duties and Responsibilities:
•  Prepare 702 reports for the TTB, AP and Custom Crush Clients.
•  Prepare government compliance reports for Federal wine taxes, California wine and sales taxes, CRV, out-of-state registration, taxes and reports.
•  Manage and file all regulatory licenses: CDFA, EPA, FDA, Health Department, Grape Crush Report, State Air & Water Boards, and OSHA.
•  Manage DMV registration, vehicle registration and inspections.
•  Manage, maintain, and collect all liability insurance policies.
•  Provide support in annual budget development for each department.
•  Maintain and report monthly cashflow projections.
•  Assist in monthly, quarterly, and annual budgeting, costing, and P&L analysis.
•  Prepare monthly budget reports detailing labor, material, equipment, and production costs to plan.
•  Prepare monthly account reconciliation to ensure accurate financial reporting and ledger maintenance.
•  Assist in monthly inventory counts and reconciliation.
•  Report and reconcile costs for bulk wine, dry goods, and finished goods inventories.
•  Maintain fixed assets records and depreciation schedules.
•  Work with outside CPA and financial advisory firms to complete year-end tax filings.
•  Assist and backup AR, AP. Assist with bank account reconciliations.
•  Manage filing, organizing and storage of all invoices and receipts.
•  Process and collect 1099s for all contract services.
•  Collect case production from mobile bottling lines, assist with billing each client.
•  Invoicing for bulk sales, grape sales, case good sales, commissions, bottling services, APs and custom processing services.
•  Assist office and winery team members in daily duties, special projects, and company initiatives.
•  Other duties as assigned.

Job Requirements:

•  Education/Experience: Bachelor’s Degree plus 5 years of compliance and accounting experience reflecting increasing levels of responsibility; or
High School equivalency and 9 years of compliance and accounting experience reflecting increasing levels of responsibility.
•  Skilled in the use of MS365, QuickBooks, and Vintrace.
•  Able to sit for two-hour intervals; able to operate a computer and telephone; able to lift, carry 50 pounds; willingness to perform tasks outside of the essential duties.
•  Ability to enter data into systems quickly and accurately; attention to details; strong written and oral communication.
