ABOUT US
We are a legendary producer of limited production Pinot Noir, Chardonnay, and Zinfandel from the
Russian River Valley, who operates a unique DTC (direct-to-consumer) platform which leverages an
industry-leading mailing list of customers and select trade accounts. The winery is located in the heart of
the Russian River Valley in California’s Sonoma County and includes over 135 acres of prime Russian
River Valley Estate vineyards. The winery also sources fruit from the preeminent growers in Sonoma
County and other AVAs, following our moto: “Make the Best Wines from the Best Grapes from the Best
Growers.” The Williams Selyem Estate Winery facility opened in 2010 for tours and tastings and serves
members of the WS List, by appointment only.

SUMMARY
Manage/oversee all aspects of offsite inventory management and fulfillment. The role requires
management of 2 full-time employees, 1 part-time employees and additional temporary staffing, as
needed. Skills required for this position include analytical thinking, attention to detail, strong
communication skills, a sense of urgency, and commitment to following through. The following is a
general list of required duties.


ESSENTIAL DUTIES & RESPONSIBILITIES:
- Data analysis from Cultivate historical sales information to provide tailored customer
understanding and sales analysis
- Providing data from the Cultivate database to assist in monthly and annual financial reporting
and reconciliations to cash received
- Sales reconciliation between Cultivate (ecommerce platform) and AMS (ERP/financial
platform) including monthly billings generated in Cultivate and uploaded to AMS
- Main point of contact for logistics/inventory vendors (Yandell, WineDirect)
- Departmental budgeting and calendar management
- SKU creation in ecommerce platform (Cultivate) and fulfillment warehouse systems (Wine
Direct)
- Inventory planning and movement:
- Support Sales & Marketing Director with inventory planning for releases
- Support Hospitality Manager with planning for short- and long-term tasting and sales
wines for the tasting salon
- Support sales & marketing team with inventory planning for on-site events
- Compliance checks and order batching for WineDirect-bound orders
- Manage Millbrook (WS-affiliated winery) orders:
- Coordinate order fulfillment and transport to MB via Wine Direct
- Creates Millbrook order forwards
- Oversee onsite will calls process:
- Batch submission
- Order scanning and layout
- Create order lookup materials
- Label creation for orders remaining beyond pickup deadlines
- Resolve order damages and returns at offsite fulfillment warehouse; arranges reships
- Promo order management via AMS for replacement orders
- Manage 3rd party orders (submit orders to fulfillment, schedule pickups)
- Manage international orders (get quotes from FedEx, confirm timing/pricing with member)
- Support sales & marketing team by creating address confirmation emails/shipping notification
emails for corresponding order batches
- Coordinate mid-year and EOY physical inventory counts, systems reconciliation
- Oversee on-site inventory and fulfillment at Wiliams Selyem Estate (WSE), including 2 fulltime
employees, 1 part-time employees and additional temporary staffing, as needed

QUALIFICATIONS:
•  5+ years of experience managing inventory/logistics in the wine industry
•  Experience managing both part- and full-time staff
•  Excellent written and verbal communication skills
•  Previous experience with e-commerce and POS systems, tasting room operations, physical
inventory counts, cycle counts and vendor management
•  Strong attention to detail and the ability to prioritize projects and follow through
•  Self-motivated “team player” with excellent interpersonal skills and a willingness to understand
and work through the details
•  In-depth of knowledge of wine shipping, including compliance, and other regulatory requirements
•  Thorough knowledge of Microsoft office suite, include Excel (an absolute MUST), Outlook, and
some web-based applications (Cultivate, Sovos/ShipCompliant, WineDirect, Yandell)
•  Experience with AMS is a plus.
