Schramsberg, America's First House of Sparkling Wine is seeking a full-time Human Resources Administrator for our historic Calistoga property and the Davies Vineyards property in Saint Helena.

Summary:
This position carries out responsibilities in the following functional areas: benefits administration, employee relations, training, performance management, onboarding and offboarding, payroll, policy implementation, workers compensation and safety, recruitment and employment law compliance and record keeping. Also includes HR-related and payroll accounting support such as benefits accounts payable processing, periodic accruals, payroll journal entries and bank reconciliation.
Employee Relations
- Establish trust and maintain effective communication and coordination with team members and management.
- Personally handle or guide resolution on a variety of complex employee relations matters.
- Partner with department managers to understand business needs and develop HR strategies.
- Support management team with the coaching and development of employees.
- Advocate for company culture. Maintain positive employee morale, engagement and satisfaction.
- Assess employee training and development needs.
Compliance and HR Administration
- Comply with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed
actions.
- Maintain all personnel files.
- Implement and enforce HR policies and procedures.
- Ensure performance reviews, and disciplinary actions are properly conducted and documented.
- Update Company handbook as needed to comply with laws.
Recruitment and Onboarding
- Partner with hiring managers in job needs assessment and determine the ideal candidate.
- Create job descriptions and job advertisements, and post ads.
- Prescreen resumes from candidates and route to decision makers.
- Participate in the interview process as necessary.
- Correspondence with job candidates, and references.
- Schedule pre-employment physicals.
- Organize and manage employee orientation and onboarding, including new hire paperwork.
Offboarding
- Attend termination meetings as needed/requested by management.
- Ensure all final paperwork is completed, including exit interviews.
- Determine final payroll requirements.
- Termination of benefits and COBRA notification.
Payroll
- Enter the payroll data into the third-party Payroll provider’s system.
- Create and update employee file information as necessary.
- Audit the final payroll before processing and final submission.
- Distribute payroll checks/earnings statements and W-2s to employees.
- File 941 payroll reports.
- Prepare information for monthly payroll accounting and journal entries.
- Manage PTO balances and accruals in payroll system.
Benefits Administration (Medical, Dental, Vision, Life/LTD)
- Assist new employee with enrollment election/enrollment forms.
- Enter information on the insurance company website for new enrollments.
- Review insurance company premium invoices for accuracy.
- End medical coverage for separating employees.
- Manage annual open enrollment periods with meetings/elections.
- Determine insurance premium co-payment responsibility and setup deductions on payroll.
Health Savings Account
- Enter Health Savings Account (H S A) enrollments to the service provider
- Submit monthly H S A account funding requirement to Accounts Payable
- Monthly H S A funding to service provider
401k Plan
- Assist newly eligible employees with enrollment forms and election set up.
- Fund employee and employer contributions with investment company.
- Coordinate with third-party administrator (TPA) for employee 401k loan requests; loan applications, loan schedule, payoffs etc.
- Fund and setup loan payments on the payroll system. Track o/s balances.
- Prepare annual 401lk plan census data and submit to third party administrator for preparation of Form 5500.
- Conduct periodic 401k plan open enrollment employee meetings.
Workers Compensation
- Provide assistance with annual policy renewal and policy premium audit.
- Coordinate employee treatment and provide DWC1 form when work related injury occurs.
- Communicate injury claim information to insurance company.
- Prepare information for monthly insurance accounting.
Safety
- Administer the Safety Committee as the Safety Manager. Ensure the committee conducts regular safety meetings.
- Follow all company policies and procedures including job safety, safety rules and regulations.
- Assist management to provide safe and healthy working conditions.
- Investigate all unsafe conditions, work-related incidents and near misses, make recommendations to management for improvement and take corrective actions as
appropriate.
Accounting Support
- Provide HR and Payroll accounting support such as benefits accounts payable processing, periodic accruals, payroll journal entries and bank reconciliation.
- Provide assistance with other HR-related Accounting functions as assigned
Qualifications
- Five years of Human Resources full scope generalist experience
- Prior winery experience in an HR capacity is a plus, but not required
- Payroll administration and processing
- PHR/SHRM-SCP certification a plus
- Bilingual in Spanish is a plus
Physical Requirements
- Able to lift 50+ pounds occasionally.
- Regularly required to use hands and/or fingers, sit, walk, climb, stoop, kneel, talk or hear.
- Must carry a valid California driver’s license and be insurable.
