Position Summary:
Provides executive level administrative support to the Executive management of the Wholesale Sales Department by self-organizing, and utilizing time and resources efficiently to accomplish a wide range of duties. This desk is the hub of the sales department and requires excellent attention to detail, ability to multitask along with a high level of interpersonal skills.

Essential Duties and Responsibilities:
•  Tracks and manages special projects and ensures that deadlines are met
•  Gathers and organizes information from sales team when required
•  Prepares and updates documents and materials on wine SKUs for wholesale sales
•  Coordinates off-site conferences and meetings
•  Handles agenda and logistics for meetings, dinners, and other functions in market and at winery locations (working with winery hospitality teams)
•  Assists with technical challenges by working with IT to resolve issues in the shortest amount of time
•  Prepares and manages all facets of our annual national sales meeting with Director of Sales and National Sales Manager
•  Takes messages, refers callers, manages calendars, and sorts and distributes mail
•  Prepares materials for meetings and compiles special reports, letters, and memos
•  Miscellaneous tasks as asked from Director of Sales, National Sales Manager and Executive VPs.

Required Qualifications:
•  Working knowledge of Microsoft Office Suite – Word, Excel, Publisher, PowerPoint
•  Bachelor's degree (B. A.) from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience
•  Minimum four years experience as an executive assistant
•  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
•  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
•  Ability to read and interpret documents, and write routine reports and correspondence
•  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
•  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Requirements:
•  Operate a desktop computer using keyboard and mouse, employing repetitive arm and wrist motions
•  Manual dexterity sufficient to reach and handle items
•  Specific vision abilities require close and distance vision
•  Sit and stand for long periods of time
•  Occasionally bend, stoop, reach, kneel, crouch or climb
•  Must be able to lift 50 lbs.

Working Conditions:
•  As needed - weekends and after-hours
