Under minimal supervision, provides standard and advanced administrative and support services for winery operations. Applies knowledge of wineries policies and procedures and utilizes a general understanding of other departments' functions. Serves as an administrative liaison with other functional areas and outside the company.

Essential Functions

This job description reflects management's assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned.

•  Produces various reports and completes various administrative projects.
•  Prepares correspondences, memoranda, reports and agendas.
•  Creates, posts, and initiates daily and weekend overtime sign up forms.
•  Manages 3x3 report, in coordination with Team Leaders & HR
•  Copies/scans documents and compiles monthly reports for distribution.
•  Maintains timekeeping daily for deviations on timecards and advise Team Leaders of any discrepancies.
•  Maintains training schedules and ensures we have coverage to support training
•  Files paperwork, related to production, distribution and shipping records.
•  Maintains the documentation to support 5S equipment standardization, pipelines, visual review, and fulfills replacement requests.
•  Digitize operations reports, for distribution and production
•  Enhances data information from internal and external data sources.
•  Ensures data integrity is checked and controlled over time.
•  Schedules meetings/travel for the department as needed.

Assists with employee timecard corrections; tracks performance and behaviors with time keeping rules.

Completes all paperwork in a clear, legible manner.

Orders supplies to support operations, including tailgate, stand-down items, and office supplies.

Orders catering for meetings as scheduled.

Maintains office equipment.

Answers phones and receives and directs visitors.

Orders and maintains production and distribution supplies.

Maintains satisfactory attendance, to include timeliness.

Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations. If accountable for the work of others, responsible for ensuring their understanding and compliance.

Supervisory Responsibilities

Minimum Qualifications

High school diploma or State-issued equivalency certificate plus 2 years of industrial relations support, administrative support, payroll support, or production experience reflecting increasing levels of responsibility.

Experience handling sensitive and confidential information.

Required to work scheduled shift (day, swing or graveyard).

Required to work overtime and occasional weekends.

Experience performing data entry on a PC.

Skilled in reading, comprehending, interpreting and executing simple instructions, short correspondence and memos.

Skilled in writing simple correspondence.

Skilled in adding, subtracting, multiplying and dividing using whole numbers.

Preferred Qualifications

Bachelor of Business Administration degree; OR High school diploma or State-issued equivalency certificate plus 4 years of administrative support, payroll support, production scheduling, or industrial relations experience in a union integrated facility.

Gallo production and operations experience.

Skilled in the use of MS Word and MS Excel an intermediate level.

Customer service or production/manufacturing experience.

Experience answering questions and performing tasks that arise in a workplace.

Experience working under pressure, meeting aggressive deadlines and making sound decisions.

Experience communicating professionally with employees regarding scheduling.

Experience working independently with little or no supervision.

Skilled in maintaining accuracy and flexibility under varied time, priority and job assignment changes.

Experience reading and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Experience writing routine reports, correspondence and procedures.

Experience effectively presenting information and responding to questions in one-on-one and small group situations to customers, clients, and other employees of the organization at many levels.

Experience using discretion when dealing with confidential information.

Possess good organizational/record keeping skills; skilled in multi-tasking.

Experience working with ADP timekeeping software.
