Job Description:

Mission: The Assistant Director of Hospitality will help to oversee the operations and management of all hospitality outlets including all Domaine Serene Wine Lounges, the Clubhouse, VIP suites, and potential future hospitality locations. This person will have a keen eye for detail and will be highly organized in the pursuit of excellence in hospitality operations and opportunities for continued improvement among our satellite outlets. Their key objectives will be to provide support to hospitality management and help to drive sales and ensure guest and member satisfaction. Helping them to achieve their sales objectives as well as their goals of providing an exceptional guest experience through the highest level of product knowledge, hospitality, and customer service, while developing a team that passionately promotes the winery as a premier luxury brand. This person will foster a workplace cultural environment that is consistent with the values of Evenstad Estates and is integrated into all our properties and will lead in the development of overall financial and business planning while growing existing businesses.

Role and Responsibilities:
•  Build a strong and pervasive “Wine First” culture among the staff based on education, engagement, and interaction with guests.
•  Promote Evenstad Estates as an employer of choice within the local community.
•  Actively promote the sale of Domaine Serene wine, Wine Club, food programs, event space and merchandise.
•  Develop new initiatives and programs to further the growth of the sales and guest experiences.
•  Work with Hospitality Managers to set monthly sales and acquisition goals.
•  Execute frequent Club Membership program training for increased member retention and acquisition.
•  Build relationships with our Members/VIP’s to increase client satisfaction and retention.
•  Foster a metrics driven culture through periodic review and update of employee sales metrics.
•  Elevate service and culinary operations at the Domaine Serene Wine Lounges in Portland, Bend and Lake Oswego as well as the Clubhouse in Dayton with the possibility of additional future locations.
•  Coach and mentor all aspects of FOH and BOH operations, including sales plans and initiatives; customer service; inventory management and accuracy; cash reconciliation; profitability; operating expenses; OS&E and FF&E.
•  Collaborate with the culinary team to develop proposed menus that showcase our wines. Prepare menu costings that achieve budgeted financial targets.
•  Support outreach goals of team members through follow up, data analysis, goal setting and clear expectations.
•  Play a key role in all personnel operations, including but not limited to: staff hiring, onboarding/offboarding, scheduling, training, coaching and development.
•  Lead the annual performance review process for direct reports and RFTs.
•  Carefully balance the staffing and customer needs for customer service while carefully managing the labor budget for efficiency.
•  Provide significant input into the annual budget process and develop strategies and tactics to achieve budgeted results, including wine sales planning, resource requirements, sales forecasting, CAPEX, labor planning and scheduling oversight.
•  Lead monthly financial reviews with the Managers to identify trends and opportunities.
•  Ensure Hospitality Managers and staff are proficient in Company apps to include WineDirect, Tock, Time Clock Plus, Wine Pulse.
•  Maintain an in-depth understanding of all federal, state, and local sanitary, safety, and health standards, and all procedures and protocols to comply with the law.
•  Ensure Hospitality Managers and staff are proficient with timely and accurate monthly F&B inventories.; Promptly follow up on all reported discrepancies.
•  May be responsible for MOD shifts due to staffing transitions or PTO.
•  Ensure that all team members are updated with all current wine and marketplace information including trade information, new release timing and upcoming Club information.
•  Maintain regular, reliable, and punctual attendance.
•  Position requires flexibility and includes weekends and evenings.
•  Other duties and responsibilities as assigned.

Requirements and Qualifications:
•  Excellent management and leadership skills with strong references and a habit of developing top talent and building sustainable, high performance teams.
•  Five or more years’ experience in sales and/ or management in hospitality focused organizations is required.
•  Significant wine industry experience is required; winery or wine bar leadership a plus.
•  Extensive experience and a strong track record of success in a fast-paced, luxury hospitality setting (resorts, restaurants, private clubs, luxury winery, etc.).
•  Bachelor’s degree in hospitality or a related field, an advanced degree is hospitality management, business or a related field is preferred.
•  Must have OLCC Service Permit prior to starting.
•  Certified Sommelier, CSW or WSET Level 2 or above preferred.
•  Experience with Vin65/Wine Direct and Tock preferred.
•  Demonstrated knowledge of MS Office, including Word, Excel, InDesign, and PowerPoint a plus.
•  Strong time management and communication skills are critical for the successful candidate.
•  Long-term and strategic thinker interested in helping to build enduring luxury wine brands based on wine quality, consistency, and product integrity.
•  Agile and enthusiastic learner, who will be comfortable moving fluidly between projects, locations, and roles.
•  Excellent customer relations skills, written and oral communication skills, and the ability to work under pressure and make independent decisions.
•  Strong analytical and problem-solving skills, with the ability to manage and prioritize multiple projects and delegate tasks as appropriate.
•  Ability to work independently with minimal supervision.
