Customer Relations & Administrative Assistant
Full Time Position – Hourly
Hours: 8am-5pm with lunch break

Figgins Family Wine Estates (Leonetti Cellar, FIGGINS, Toil Oregon) is looking for a highly motivated individual to work with one of Washington’s pioneering wine families. This position is administrative in nature but provides great potential to gain additional responsibilities as the needs of the businesses change. The purpose of this position is to work directly with and support the owners and management team of Figgins Family Wine Estates with the following tasks:
Customer Relations, Communications, and Sales
•  Answer phones with maturity and clarity and be a point of contact for customers & vendors
•  Follow up on all customer requests
•  Assist with all customer relations tasks including data entry, receiving & entering wine orders, and updating customer account information.
•  Assist with preparing and organizing orders for shipping with UPS, delivery, and/or pickup
•  Schedule private tastings and tours and serve as a concierge in Walla Walla for List Members
•  Assist with Waiting List/Mailing List requests for all wine brands
•  Assist with the execution of press mailings/shipments, stuffing envelopes, placing stamps and labels
•  Interact with external agencies to keep company data current

Executive Administration
•  Assist CEO with email organization and prioritization
•  Assist with preparation for business meetings including obtaining materials and/or making reservations
•  Coordinate calendar of events for management team as needed
•  Monitoring pending projects to ensure organization and timeliness of follow-up

Auctions/Donations
•  Prepare procurement forms, log auction data into spreadsheet, and arrange delivery/pickup.

General Office Responsibilities
•  File
•  Order supplies as needed
•  Run errands as needed
•  Pick up mail
•  Other duties as assigned

Professional Qualifications
•  Prior experience with office administration or coordination
•  Must have excellent customer service skills
•  Must have excellent organizational skills and the ability to follow through on projects with minimal supervision
•  Ability to work independently and as a member of a team
•  Have ability to prioritize workload and meet deadlines
•  Able to work under stress and handle interactions with staff and public using judgment, tact, and diplomacy
•  Strong analytical and mathematical skills
•  Excellent verbal and written communication skills
•  Must be outgoing and able to interface with all customer personality types
•  Intermediate Microsoft Office skills
