Hospitality Coordinator- Concierge

Job Description:

Position Purpose

Under general supervision of the & nbsp;Hospitality and Events Manager, the Hospitality Coordinator- Concierge actively facilitates, plans and supports execution of trade-related experiences and events at Black Stallion Estate Winery (BSEW) or offsite on behalf of the winery. Responsibilities include supporting BSEW Sales and Hospitality by coordinating meetings, itineraries, tours and tastings, along with events when applicable, and applying a high standard of service to achieve an exceptional customer experience.

Essential Duties


•  Manages all inbound and outbound Hospitality Request Form (HRF) correspondence and requests with Delicato Family Wines Sales Team and guests
•  Manages calendar of overnight stays, tastings and events in coordination with other members of the BSEW Hospitality team
•  Prepares BSEW Hosts with HRF details, guest profiles and preferences
•  Coordinates direct correspondence with trade guests (payment information, policies, confirmations, directions, etc.)
•  Acts as a concierge to guests to create itineraries for trade guests as needed
•  Works closely with Tasting Room Concierge to coordinate guest experience and provide support when needed
•  Oversees cleaning of guest houses, "flipping" to prepare for next guests, and works closely with Hospitality - Operations to replenish inventory at guest houses as needed
•  Coordinates Delicato Family Wine deliveries for trade experiences
•  Maintains basic office organization, event files, wine supply inventory and general office support


•  Acts as an estate ambassador to showcase BSEW's history and wines through tours and tastings and hosting Guest House Check-Ins and offsite pours
•  Invites guests to purchase wines and join BSEW wine clubs
•  Builds relationships with guests to assist in creating an exceptional experience


•  Works with other Hospitality teammates and their related duties as assigned
•  Supports Tasting Room and Wine Club teams as requested

Minimum Requirements

Education and Experience

•  High school diploma or equivalent; Associate Degree is a plus
•  Minimum 2 years of related work experience; hospitality and events background preferred
•  Wine industry experience is a plus
•  Passionate and knowledgeable about wine, food and agriculture, with a willingness to broaden knowledge base
•  Strong interest hospitality
•  Breadth of interest across many subjects & depths of knowledge with interest to continue learning

Knowledge, Skills, and Abilities

•  Needs to be flexible in scheduling days of the week and hours of the day to meet needs of the DFW Sales team and Hospitality events
•  Understands event planning operations
•  Valid driver's license, appropriate automobile insurance coverage, and clean driving record
•  Must be extremely organized with impeccable attention to detail
•  Excellent proactive planning, critical thinking and problem-solving skills
•  Exceptional active listening, verbal and written communication skills
•  Demonstrates excellent customer service and patience
•  Must possess a friendly, professional demeanor and appearance
•  Strong computer skills, MS preferred (Word, Excel, PowerPoint, Publisher)
•  Working knowledge of the wine industry and/or culture

Working Conditions

•  Ability to work in the outdoors including during winter and summer months, subject to marked temperature and humidity changes
•  Ability to work in refrigerated environments
•  Exposed to dust, fumes and gases
•  Required to talk & listen
•  May need to determine color, taste, and smell of wine using eyes, tongue, and nose
•  Operates keyboard & mouse
