The Wine Club Administrative Coordinator supports the efforts of our Wine Club Manager and acts as a liaison between our Wine Club and Tasting Room teams. Additionally, the person in this role will provide administrative support to our telemarketing efforts as well as facilitate shipping orders. This position reports to the Wine Club Manager, who is responsible for increasing WC conversion and retention. The ideal candidate must be extremely detail oriented, efficient, resilient and a clear communicator.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:
Answer calls and emails from club members and provide office support as needed.
Wine Club batching and processing
Follow up on returned shipments; track packages and decrease redirects and returns
Contact delinquent accounts to update financial information
Process orders and coordinate logistics
Maintain customer database by updating club member records
Work special events including set up, break down, pouring wine, hosting guest as needed.
Regularly assist Tasting Room staff by hosting groups on a weekly basis (one day per week).
Provide telephone and office support as needed
Be the extension of the Wine Club Manager in their absence, answering questions from staff and assisting on the tasting room floor
Review and maintain inventory levels at multiple shipping warehouses
Make reservations for tasting experiences and provide basic concierge service
EDUCATION, TRAINING AND OTHER REQUIREMENTS:
Two years related experience with direct to consumer sales or hospitality
Sales experience in luxury service focused organizations
Knowledge of wine and Direct to Consumer wine sales practices
Intermediate to advanced proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint and Excel) is required
Strong sales skills and ability to up-sell
Excellent customer relation skills, written and oral communication skills with the ability to interact comfortably with the public in an efficient, positive and brand-appropriate manner
Proven ability to manage multiple projects
Strong organizational, problem-solving, and analytical skills demonstrated by the ability to make timely and sound decisions
Acute attention to detail, particularly in written communication
Occasional local travel necessary; valid driver’s license and clean driving record
Able to lift and carry 50lbs for short periods
Microsoft Office Suite, ShipCompliant, & Wine Direct experience all valuable
